Role overview
We are looking for a reliable, organised, and personable Team PA / Front of House Support to join our office. This role combines full-time Team Personal Assistant support for one of our 18 specialist teams with a consistent front-of-house presence. You will be based at reception 4 days per week as the welcoming face of the company, with 1 dedicated day per week working directly with your team. On quieter reception days with no expected visitors, you will also have the flexibility to sit with the team.

Key responsibilities

Provide day-to-day administrative support to team members and business support teams.
Work from reception 4 days per week as the first point of contact greeting all guests while maintaining a professional, welcoming front-of-house area.
Create and update accounts, projects, contact records and resourcing data, and submit timesheets.
Process monthly billing, invoicing and expense reimbursements accurately and by required deadlines.
Coordinate meetings, including room bookings, visitor management, materials, catering and refreshments.
Prepare documents, correspondence, presentations and reports for team members as required
Book and manage travel and accommodation for team members.
Organise internal team events and support external client events when needed.
Perform general office duties, including mail and delivery distribution, kitchen upkeep and ad-hoc facilities support.
Assist with new staff onboarding, including staff photos for internal systems and directories.
Support business operations teams and committees with additional projects and tasks as needed.

About You

Experience as a Team PA, Executive Assistant, or similar administrative role.
Professional, friendly, and confident with strong communication and relationship-building skills.
Comfortable providing proactive team support while maintaining a visible front-of-house presence.
Highly organised and detail-focused, with the ability to manage competing priorities.
Intermediate Microsoft Office skills, including Word, PowerPoint and Excel.
Exposure to Salesforce and Certinia advantageous.
Proactive, flexible and able to work independently and collaboratively
Able to maintain confidentiality and handle sensitive matters diplomatically and discreetly.
Relevant studies in business administration desirable.

Role Structure & Details
Reception duties are relatively light with no switchboard or heavy phone work. Additional responsibilities may be added as the role evolves. This setup allows you to provide consistent support to your team while also being an important front of house presence.

You will deliver Team PA support 5 days a week for your assigned team.
4 days per week based at reception / front desk.
1 dedicated day per week working directly alongside your team.
On quieter reception days (when no visitors are expected), you will have the flexibility to work from the team’s area.

Working Arrangements
5 days in the office – based in The Rocks, Sydney, NSW.
Full working rights in Australia required.
