About the role
Griffith University is seeking a proactive and highly organised Administration Support Officer to join our Campus Life Facilities Management team on the Gold Coast campus.
This is a diverse and fast-paced role supporting the day-to-day operations of Facilities Management, working closely with facilities staff, contractors, students, researchers and university stakeholders. You'll play an important part in keeping campus operations running smoothly through administrative coordination, customer service and operational support.
As a key member of our team, you will:

Provide administrative support across a broad range of Facilities Management activities.

Coordinate building access and physical key management processes.

Support meeting and event coordination, venue bookings and staff onboarding activities.

Manage shared inboxes and respond to customer enquiries through the ServiceNow portal.

Prepare reports, presentations, spreadsheets and other business documentation.

Maintain databases, registers and information management systems.

Process purchase requisitions and procurement card transactions in line with University procedures.

Assist with the coordination of minor works, security/access requests and operational projects.

Contribute to a positive customer experience through timely and professional support.
About you
-
Demonstrated experience in an administrative, business support or customer service role.

Advanced proficiency in Microsoft Office applications, particularly Excel, Outlook, Word and Teams, with the ability to prepare reports, analyse information, manage data and produce high-quality documentation.

Strong organisational skills, attention to detail and the ability to manage competing priorities in a busy operational environment.

Well-developed written and verbal communication skills, with a customer-focused approach to stakeholder engagement.

Experience maintaining records, databases, registers and administrative systems with a high level of accuracy.

Demonstrated ability to quickly learn and effectively use corporate systems, online platforms and business applications.

Experience with Computerised Maintenance Management Systems (CMMS), facilities management systems, asset management systems or work order management platforms would be highly regarded.

Experience supporting facilities management, property, maintenance, operational or service-based teams would be advantageous.

Relevant tertiary qualifications and/or equivalent experience in administration, business support or a related field.
What we can offer
This is a full-time fixed-term opportunity until 13th February 2027 at Gold Coast campus. As Griffith is a multi-site University you may be required to work across other locations.

Salary
HEW 4 Salary - Base range - $76,126.29 - $80,321.54 + 17% superannutation. Full package range $89,067.75 - $93,976.19.
