About the Role

AB Nurses Support Services is seeking a highly organised, professional and motivated NDIS Administration & Workforce Coordinator to join our team.

The successful candidate will be responsible for supporting the day-to-day administration of our NDIS services, coordinating support workers, preparing and managing staff rosters, recruiting suitable support workers, communicating with participants and workers, and ensuring services are delivered efficiently and professionally.

This is a client-focused role requiring excellent communication, strong organisational skills and the ability to work in a fast-paced NDIS environment.

Key Responsibilities

Manage day-to-day NDIS administration and office tasks.
Prepare, coordinate and update support worker rosters according to participant needs.
Contact support workers regarding available shifts and confirm their availability.
Recruit and onboard suitable support workers.
Conduct phone screening and initial interviews with potential candidates.
Match suitable support workers with participants based on their needs, skills, experience and availability.
Regularly communicate with participants, families, support workers and other stakeholders.
Manage staff availability, cancellations, shift changes and replacement staff.
Follow up unfilled shifts and ensure participant services are appropriately covered.
Maintain accurate staff and participant records.
Assist with NDIS documentation, service agreements, progress notes and other administrative requirements.
Monitor staff compliance, including required qualifications, checks, training and documentation.
Respond professionally to incoming calls, emails and enquiries.
Maintain confidentiality and comply with NDIS privacy and safeguarding requirements.
Assist management with general workforce and administrative duties.
Support the team with improving workforce coordination and service delivery processes.

Essential Skills & Experience

The ideal candidate will have:

Previous experience in NDIS, disability, healthcare, community services or workforce/recruitment administration.
Strong understanding of NDIS service delivery and participant requirements.
Excellent telephone and communication skills.
Confidence speaking with clients, families and support workers.
Experience with staff rostering and workforce coordination.
Recruitment or staffing agency experience is highly desirable.
Excellent computer and administration skills.
Strong attention to detail and organisational skills.
Ability to manage multiple tasks and priorities.
Professional email and written communication skills.
Ability to work independently as well as part of a team.
A professional, friendly and client-focused approach.

Recruitment & Workforce Responsibilities

A major part of this position will involve recruiting and coordinating support workers.

You will be responsible for:

Advertising available support-worker positions.
Calling and screening applicants.
Conducting initial interviews.
Checking availability and suitability.
Coordinating onboarding requirements.
Maintaining a workforce database.
Filling participant shifts.
Creating and maintaining weekly rosters.
Calling workers to confirm shifts.
Finding replacement workers when required.
Building a reliable pool of suitable support workers.

Working Hours

The role may initially be offered on a casual basis, with the opportunity to transition into an ongoing/full-time position based on performance, business requirements and mutual suitability.

3-Month Trial Period

A 3-month trial/probation period will apply. During this period, performance will be assessed based on:

Reliability and attendance
Communication skills
Quality of administration
Rostering accuracy
Recruitment performance
Ability to fill shifts
Client service
Professionalism
Ability to work independently
Understanding of NDIS requirements

Sponsorship Opportunity

Sponsorship may be available for a suitable candidate, subject to the candidate meeting all relevant eligibility requirements and the applicable Australian visa and sponsorship requirements. Sponsorship is not guaranteed and will be considered based on skills, experience, performance and business requirements.
