Executive Assistant (Hybrid)

Part Time, Temporary, Sydney, Australia

Parental Leave Cover commencing October 2026 ( 7 Months)

We are seeking a highly organised and proactive Executive Assistant to provide dedicated support to our Managing Director, Australia & Singapore, while also supporting the Australian Senior Leadership Team. This role is critical to ensuring the smooth operation of executive and leadership activities. Working with confidential and time-sensitive information, you will act as a trusted partner, coordinating administration, reporting, and project activities across the business. As the first point of contact for the Managing Director and a range of internal and external stakeholders, you will build strong relationships with colleagues, clients, vendors, suppliers, and other business partners.

As an Executive Assistant, you will

Manage calendars, diaries, expenses, correspondence, and administrative priorities.
Coordinate internal and external meetings, including scheduling, agenda preparation, minute-taking, and follow-up actions.
Arrange and manage domestic and international travel, accommodation, and detailed itineraries.

Organise company meetings, Town Halls, leadership events, and off-site sessions, including logistics and presentation materials.

Act as a key communication point for leadership team enquiries and business-related requests.

Build and maintain effective relationships with internal and external stakeholders, including Sydney office building and facilities management.
Ensure the highest level of confidentiality, professionalism, and discretion in all aspects of the role.

About you

4-5 years' experience as an Executive Assistant supporting senior executives within a national or global organisation.
Demonstrated experience managing complex calendars, travel arrangements, meetings, and executive administration.
Advanced proficiency across the Microsoft Office suite, particularly Outlook, Excel, PowerPoint, and Word. Experience with SAP is highly regarded.
Exceptional organisational, planning skills with the ability to manage competing priorities.
Strong written and verbal communication skills, with excellent attention to detail.

Outstanding stakeholder management capabilities and the ability to build credibility at all levels of an organisation.

Sound judgement, professionalism, and a proven ability to manage confidential and sensitive information.

A proactive, adaptable, and solutions-focused approach.

Previous experience working in an international business environment will be highly regarded.

The successful candidate will be required to complete satisfactory pre-employment checks prior to commencement in role.
