About the role:

The Senior Executive Coordinator provides high level administrative and executive support, overseeing the administrative and operational functions of the Office of the Deputy Secretary in a complex and sensitive environment. The role manages briefings, correspondence, meeting papers, reporting, and written materials, ensuring quality and timeliness standards are met. They build strong relationships with internal and external stakeholders and work closely with senior staff to support effective operations and implement improved ways of working.

Reporting to the Principal Adviser, the role provides a pivotal point of contact for key stakeholders from a diverse range of government and private sectors.

About you:

Can you demonstrate the following?

Accurate management of daily business operations and coordination of requests on behalf of the executive
Preparation, and organisation of meeting material and travel arrangements
Diary and inbox maintenance, including actioning of emails, redirecting actions as required, and prioritisation of urgent and/or significant matters
Production, review and filing of papers and briefings.
Preparation of complex and accurate communication materials such as presentations, emails, briefings, and reports
Review and improvement of office processes and information management.

Qualifications / Specialist Expertise

A qualification in business, project management, or working in government would be advantageous.
Demonstrated knowledge of and experience in managing and supporting departmental executive functions and processes.
A strong understanding of the Victorian health system, and knowledge of the department and its operating processes and information systems is essential.
