About the role

The Patient Services Department at Tamworth Hospital is seeking a highly organised and detail-focused professional to join the team in a key role managing the hospital’s surgical waiting lists.

Reporting to the Patient Services Manager, you will play an important role in ensuring patients are appropriately booked within their Clinical Urgency Category (CUC) timeframe, in accordance with NSW Health surgical access policies and waiting list management guidelines.

This is an opportunity to make a meaningful contribution to patient care behind the scenes. Effective waiting list management helps patients access their planned care at the right time and supports the hospital to deliver safe, efficient and equitable services.

What you’ll do

In this role, you will:

Manage surgical waiting lists and coordinate elective surgery bookings to support timely patient admissions.
Plan and prioritise surgical waiting lists at least three months in advance.
Communicate with treating specialists, healthcare providers and patients to facilitate effective waiting list management.
Monitor administrative workflows and support a high standard of accountability, professionalism and service delivery.
Maintain accurate waiting list information and complete regular daily, weekly and monthly audits.
Prepare and report monthly ESAP data to the Executive Team as required.
Communicate and document accurate, timely information to support informed decision-making and patient care planning.
Identify strategies to meet patient and organisational objectives within appropriate timeframes.
Contribute to a positive workplace culture that reflects HNE Health values and the NSW Health Code of Conduct.
Support ongoing quality improvement, professional development, workplace safety and culturally respectful practices.

A sound understanding of surgical waiting list policies and processes.
Excellent verbal and written communication skills.
Strong attention to detail.
Highly accurate data entry and administrative skills.
The ability to organise, prioritise and manage competing demands.
A commitment to delivering high-quality, patient-focused administrative services.

Experience in waiting list management is valuable; however, the right candidate will also be supported to develop their knowledge and skills in the role.

Essential Criteria

Medical Terminology qualification (or equivalent experience) with demonstrated experience in using medical terminology in the workplace

What you'll be doing

Provide management of selected surgical waitlists and the coordination and scheduling of elective surgery cases under the supervision of the Patient Services Manager in conjunction with the Theatre Nurse Managers.
