About the team
The Taxes & Grants Executive Director Office is tasked with supporting the Executive Director and business units across the division to deliver a range of administrative functions that enhance engagement, improve business operations, build capability and support effective executive communications. The Executive Director Office is responsible for leading a structured and collaborative approach to keep the Executive Director well-informed and equipped to drive key objectives efficiently.

Your day-to-day
In this role, you will provide high-quality executive, secretarial and administrative support to the Taxes & Grants Executive Director Office, helping to manage complex priorities, coordinate information flow and support effective decision-making across the division. You will be a trusted point of contact, using sound judgement, discretion and professionalism to prioritise requests, prepare clear communications, coordinate meetings and support practical improvements to administrative systems and processes.

To be successful in this role you will have the following:

Strong organisational skills with the ability to manage competing priorities, meet deadlines and keep work on track in a busy executive environment.
Sound judgement, discretion and integrity when handling sensitive matters, confidential information and executive-level communications.
Clear and professional communication skills, including the ability to prepare well-structured correspondence, briefing material, meeting papers and reports.
A customer-focused and collaborative approach, with the confidence to build positive working relationships with senior leaders, stakeholders and colleagues across the division.
Initiative and problem-solving skills to assess requests, escalate issues appropriately and identify practical improvements to administrative processes.
Confidence using technology, records management and information systems to support efficient, accurate and reliable business operations.

What will your day involve?

Act as a key point of contact for the Executive Director Office, assessing requests, prioritising matters and coordinating timely responses.
Manage diaries, appointments, correspondence, records, travel arrangements and meeting logistics to support the effective use of executive time.
Prepare, coordinate and review high-quality communications, including briefings, submissions, reports, meeting notes and correspondence.
Research, collate and coordinate information, advice and updates to support planning, decision-making and divisional priorities.
Monitor administrative practices, systems and procedures, and identify opportunities to improve consistency, efficiency and quality of outcomes.
Liaise professionally with internal and external stakeholders, managing expectations, seeking clarification and escalating sensitive or urgent matters when required.

We are looking for a motivated, proactive and flexible team player who will bring their extensive Taxes & Grants experience to provide trusted support to the Executive Director and Executive Director Office. You will bring strong organisational skills, sound judgement and a professional approach to managing priorities, coordinating information, supporting executive communications and building effective working relationships across Taxes & Grants, Revenue NSW and DCS.
