Provide high-quality administrative support to the Tech School, supporting student engagement, stakeholder communication and the effective delivery of Tech School programs.

Reporting to the Director, Whittlesea Tech School, this role works as part of the dynamic Tech School team, working in a flexible and collegiate manner to ensure policies and procedures are implemented and that efficient and effective administration is provided.
You will support the communication and organisational needs of the Tech School, working closely with students, partner schools, industry and other stakeholders. The role contributes to sharing and promoting Tech School programs and the achievements of young people across Melbourne's north while delivering professional, responsive administrative support.
This position suits someone with strong administrative, organisational and customer service skills who enjoys working collaboratively and building positive relationships with a diverse range of stakeholders.
What You'll Do
- Assist in the administration of student engagement activities, including enquiries, program information, bookings, follow-up enquiries and the collection of feedback data
- Provide high-level customer service to internal and external clients, ensuring enquiries are responded to in a timely manner with tact, diplomacy andaccurate information
- Provide general administrative support, including correspondence, mail merges, meeting administration, secretariat duties, database maintenance, data collation and reporting
- Assist with office resource management, procurement, purchase administration, prompt payments and processing tax invoices
- Maintain accurate filing and archiving systems, both electronic and hard copy, in accordance with Institute policies and quality assurance requirements
- Use a range of software including Outlook, Microsoft Word, Excel, SharePoint and Mailchimp
- Assist in the production and administration of social and print media communications for the Tech School
- Provide administrative support for events, meetings, tours and training activities
- Provide confidential administrative assistance to the Tech School Executive Director and Directors
- Collaborate with Tech School staff to support consistent administrative systems and participate in projects and continuous improvement initiatives
- Appropriate vocational or other qualifications and/or extensive experience in administrative support roles
- Demonstrated high standard of administrative and organisational skills, including document presentation, drafting, formatting, spreadsheet development, database maintenance and administrative systems
- Excellent written, verbal and interpersonal communication skills, with the ability to communicate and liaise effectively with internal and external stakeholders
- Demonstrated organisational and problem-solving skills, with the ability to prioritise work, meet deadlines, use tact and diplomacy, maintain confidentiality and respond flexibly to changing priorities
- Demonstrated ability to work effectively both independently and as part of a team
- Demonstrated knowledge of and commitment to Occupational Health and Safety, Anti-Discrimination, Quality Assurance and Continuous Improvement principles
- Experience supporting student engagement, events or educational programs
- Experience using Microsoft Office, SharePoint, Mailchimp and database systems
