OMINTA FM COMMERCIAL

Background

OMINTA FM COMMERCIAL is an Australian facilities management and commercial cleaning services business providing cleaning and related operational services across multiple client sites in Victoria, including school and commercial facilities.

The business coordinates client requirements, contract administration, operational service providers, supervisors, cleaning operations, suppliers and administrative functions to ensure contracted services are delivered consistently and in accordance with client requirements and service standards.

Job Description

Name of Occupation: Office Manager

The Office Manager reports directly to the Managing Director and provides administrative and operational coordination across the business.

The position acts as an important link between senior management, clients, contract administrators, operational service providers, supervisors and other stakeholders.

Daily Tasks Include

1. Office and operational management

Coordinate daily administrative and operational activities, maintain records, workflows and reports, manage internal communication and

provide operational support to the Managing Director.

2. Client and contract coordination

Communicate directly with clients, respond to enquiries and complaints, monitor service delivery, conduct site inspections and coordinate corrective actions where required.

3. Workforce and operational coordination

Coordinate with Contract Administrators and Supervisors regarding rosters, staffing, performance, service standards and operational issues, and provide guidance and support regarding operational requirements.

4. Recruitment, training and compliance

Assist with recruitment and onboarding when required, provide operational and product training, monitor workplace standards and support WHS, incident reporting, security and site access requirements.

5. Procurement and operational resources

Monitor cleaning supplies, equipment and inventory, coordinate purchases, liaise with suppliers and assist with equipment maintenance and operational cost control.

6. Reporting and management support

Prepare operational reports for the Managing Director, assist with invoice and supplier cost verification, monitor contract-related matters and identify opportunities to improve operational efficiency and service quality.

Requirements

1. Level of required qualification

A relevant Diploma-level qualification or higher in management, business administration, leadership, hospitality management or a related field.

2. Number of years of experience

At least 1 year of relevant professional experience in office management, administration, operations management, facilities coordination or related management roles, with demonstrated experience appropriate to the operational complexity of the business.

3. Other Main Requirements to Be Considered for the Position

Strong office management and organisational skills.
Demonstrated leadership and staff coordination skills.
Strong written and verbal communication skills.
Experience coordinating operational activities and multiple priorities.
Experience communicating directly with clients and managing operational issues.
Knowledge of scheduling, workforce coordination and administrative reporting.
Experience with facilities, procurement, suppliers and operational resources.
Understanding of workplace health and safety and operational compliance.
Ability to work independently, exercise sound judgement and provide effective support to senior management.

Annual Salary: AUD $93,500.04 + superannuation

Proposed Hours of Work: 38 hours per week

Employment Basis: Full-time

Pay: $93,500.04 per year
