POSITION DESCRIPTION

Key Relationships

The Sports and Swimming Centre Manager reports to the Director of
Marketing and Communications. This role works closely with the Venue
Services Coordinator, Swim School Team, School’s Facilities Manager,
PE staff, Property Services and other staff. Ultimately responsible to the
Principal via the Director of Business Operations.

Position Objective:
The Sports and Swimming Centre Manager plays a pivotal role in managing the profitable, safe and efficient
operation of the Sports and Swimming Centre (SSC), with the centre open for School and private hire activities
7-days per week, across the entire year. This includes:

The WestSwim Swim School program (attended by 1100+ swimmers);
Commercial clients using the indoor courts, pool (lane hire) and other facilities outside of times

required by the School; and

Westminster School students and families in respect of its curricular and co-curricular programs.

Key Responsibilities:
Lead and manage all aspects of running operations within the SSC, including:

1. Overall Management
• Responsible for accurate and responsible implementation and management of the SSC and Swim

School budgets with input and oversight from the Director of Marketing and Communications.

Responsible for revenue collection of all private hire income within the SSC and other facilities.
Responsible for all client service levels and management of the CRM systems and other calendar

management protocols.

Undertake line management responsibilities for SSC Attendants and Swim School Staff

(instructors and other roles as required) including recruitment and induction, training,
development, and rostering.

Lead, manage and develop the Venue Services Coordinator to support the operations of the SSC,

Swim School and other private hire clients and spaces effectively and efficiently.

Create a work environment for all staff directly or indirectly involved with the operation of the

SSC that facilitates high levels of engagement, discretionary effort, teamwork, and development.

Provide oversight, support, and guidance to the team, promoting the development and

maintenance of a service culture.

2. Swim School
• Manage and deliver a best practice Learn to Swim program.

Manage, roster and provide ongoing training to

Swim School Coordinators (full time and part time employees).
60+ casual staff members and implement programs on an ongoing basis.

Implement billing cycles and the collection of fees.
Establish a personal profile amongst the Swim School’s clientele as the “front person” of the Swim School.
Conduct patron feedback surveys as agreed with Head of Commercial Operations and Marketing, following

up where necessary and assist with ongoing evaluation to identify opportunities for future development
and revenue growth.

Document programs in a format that can be understood and operated by swimming instructors so that a

consistent, uniform, customer-orientated service is provided to clients, regardless of which instructor is
taking the activity.

Maintain the Swim School CRM system to ensure that customer records are kept up to date and that

communications to customers are delivered professionally and timely.

Manage the ordering and sale of merchandise stock.

3. Pool Operations
• Direct line management of the Pool Operator to ensure continuity of service standards.

Support the Pool Operator ensuring all plant, equipment and facilities are maintained and operating in a

good working condition, providing a safe, clean, and hygienic environment for all patrons and staff.

Collaborate with the Pool Operator to test water quality in accordance with Safe Work Australia and South

Australian Public Health (General) Regulations 2013, Guidelines for Safe Pool Operations, and report reading
to the outsourced Pool Operations Contractor.

Provide troubleshooting assistance as required while on and off campus.
Maintain a top-level understanding of the operation of pool equipment and ensure key equipment such as,

but not limited to, pumping and filtration systems, water monitoring control units, water recycling systems,
are operated appropriately.

Identify any required maintenance and repair work as quickly as possible and take appropriate action,

escalating to the Facilities Manager where needed.

4. General

In collaboration with the Director of Marketing and Communications, promote the SSC facilities, programs

and services to maximise revenue generation opportunities.

Provide prompt, friendly, and courteous customer service to all persons on site, making any purchase or

enquiry about the SSC’s facilities, programs, or services.

Ensure that facilities and equipment are set up for users in accordance with booked requirements for School

and commercial use.

Communicate professionally and effectively with other team members, management, and Swim Centre

patrons, maintaining high standards of customer service and professional conduct.

Any other such duties that are commensurate with the employee’s skill level, competency, and training.
Field inquiries and confirmation of bookings as needed.

5. Operational
• Ensure that first aid assistance is provided to patrons and staff when required and to take appropriate action

in the event of an emergency or incident which could endanger the wellbeing of a patron.

Ensure the safety and wellbeing of patrons and all rules and regulations within the SSC are complied with.
Ensure that all equipment is properly maintained and monitored.
Have oversight for cleaning duties, which must be completed and general presentation of the SSC. This can

include the cleaning of changing rooms, toilets, storage rooms, offices, pool areas, pool windows,
equipment, and any other designated area.

Assist in the Work Health and Safety (WHS) process by ensuring risk and hazard management of any item

or fixture which becomes in need of repair or maintenance and is brought to the attention of Property
Services in a timely manner.

Other duties as required.

Key Selection Criteria: Qualifications, Skills and Experience

Current qualifications as a Teacher of Swimming and Water Safety.
With extension certificates in Infant and Pre-School teacher.
Teacher of Competitive strokes.

Five years plus experience in a similar role, leading a team.
Experience in swim school operations.
Ability to work under pressure and meet deadlines which reflect the values, objectives and culture of the

School and the Swim School and Sports and Swimming Centre.

High level of attention to detail.
Demonstrated ability to develop a service culture within a team.
Awareness of WHS obligations and other regulatory and compliance requirements.
Pool Operations Certificate (Aquatic Technical Operator Skillset) and/or experience and knowledge working

in an Aquatic facility with a sound knowledge of water testing, backwashing, and other essential Aquatic
related tasks.

Current Provide First Aid, CPR and Lifeguard qualifications.
Computer literary.

policy which includes holding a current Working With Children Check (WWWC).

A 6-month probationary period applies to all new employees
