This Role: The Facility Coordinator will assist the ANZ Workplace Lead with operational activities and lead their location as the main local point of contact for the branch and any operational requirements. The Facility Coordinator will take pride in the office and ensure employees, clients and visitors have an enjoyable experience within our clients’ space. The responsibilities will include, oversight, and assist with reception and human experience activations, accounting and finance, addressing office requests, maintenance and operations, upkeep of office space, invoice verification and submission for payment processing, occupancy services and helpdesk.
An Overview of the role:
Client/Stakeholder Management
Provide superior customer service to meet on-site client’s expectations.
Interact with client point of contacts regularly to understand needs and upcoming important meetings, events and provide necessary support.
Procurement & Vendor Management
Assist in the management of all contractors on site to ensure they perform to the required standards (including inspection of vendors’ works)
Assist in the procurement of vendors and services as required.
Finance Management
Assist in financial processes to ensure that all financial management requirements are completed in a timely and accurate manner.
Ensure prompt and accurate management of purchase orders.
Invoice verification and submission for payment processing
Health & Safety Management
Conduct regular audits to ensure safety procedures on site are in place and working.
Assist in carrying out safety procedures when needed.
Site Operations Management
Assist in the implementation of Industry Best Practice operations.
Conduct site inspections and assessments to ensure all building procedures and performance measures are always maintained.
Seek ways to constantly reduce costs and improve operational standards.
Always maintain premises in neat and good working condition.
Maintain duplicate office keys in good order.
Assist with reception desk coverage on daily basis and time to time.
Provide support for meeting room bookings where required.
Coordinate with pantry/cleaning staff to ensure upkeep of kitchen area, top up kitchen consumables (biscuits/nuts/drinks),packing/unpacking of dishwashers etc.
Tidy up kitchen area, top up kitchen consumables (biscuits/nuts/drinks), pack/unpack dishwashers etc., during nonavailability of pantry/cleaning staff each day.
Risk Management
Assist in the implementation and management of property risk management program.
Support the implementation and monitoring of disaster recovering and business continuity plans.
Follow established escalation procedures and incident reporting procedures.
Adhere to JLL business conduct by ensuring compliance with the firm’s guidelines, procedures, and strategies.
