About the Role
This is a diverse and highly visible role providing executive, administrative and coordination support to the Operational Services Executive and broader Operational Services leadership team. Working at the centre of a busy operational portfolio, you will play a key role in helping the team stay organised, connected and focused on delivering high-quality outcomes across Eldercare's residential care services.
The role offers variety and scope, balancing traditional Executive Assistant responsibilities with coordination of documentation, financial administration, improvement initiatives and operational activities. Success in this role will come from your ability to build strong relationships, exercise sound judgement, manage competing priorities and maintain a high level of professionalism and attention to detail.
Key responsibilities:
- Provide high-level executive support to the Operational Services Executive, including diary management, correspondence, meeting preparation and coordination of priorities.
- Coordinate meetings, governance forums and leadership activities, including agendas, minutes, action tracking and logistics.
- Support financial and administrative processes, including purchase orders, invoicing, reconciliations and procurement activities.
- Maintain operational documents, registers and key information to ensure accuracy, accessibility and compliance.
- Provide coordination support for programs and operational initiatives across the Operational Services portfolio.
- Build strong working relationships across Eldercare, acting as a key point of liaison between leaders, Head Office teams and residential care services.
- Support continuous improvement through effective use of Microsoft 365, SharePoint and approved digital tools.
About You
You are an experienced Executive Assistant who thrives in a fast-paced and complex environment and enjoys being at the centre of a well-run team.
You are highly organised, proactive and professional, with the ability to anticipate needs, manage competing priorities and maintain strong attention to detail. You build trusted relationships easily and are known for your discretion, sound judgement and ability to get things done.
You understand the importance of strong internal relationships and enjoy working collaboratively with leaders, colleagues and stakeholders across an organisation. You have a professional presence, are approachable and adaptable, and can confidently support both routine and high-priority activities.
You will bring:
- Experience providing Executive Assistant or senior administrative support to senior leaders.
- Outstanding organisational skills, with the ability to manage complex diaries, competing priorities and multiple deadlines.
- Excellent written and verbal communication skills.
- Strong attention to detail and the ability to produce accurate, professional documentation.
- High levels of discretion, professionalism and confidentiality.
- The ability to build positive relationships and work effectively with stakeholders across all levels of an organisation.
- Sound judgement and the ability to appropriately manage competing requests and priorities.
- Experience supporting financial administration activities, including purchase orders, invoicing, reconciliations and related processes.
- Advanced capability using Microsoft 365, SharePoint and contemporary digital tools.
