The Participant and Program Support Officer will be the face of the Bairnsdale Regional Centre, providing hands-on support to ensure every participant has a positive and seamless professional learning experience.

About the Division

The Regional Division leads the Academy's statewide regional presence through seven centres in Bairnsdale, Ballarat, Bendigo, Geelong, Mildura, Moe and Shepparton. It is responsible for representing the Academy in local communities across government, Catholic and independent school sectors, ensuring equitable access to high-quality professional learning, and strengthening pathways into and within the teaching profession.

The Division delivers and enables professional learning aligned to the Academy's leadership and teaching excellence priorities, while responding to local needs, emerging trends, and system priorities. It plays a critical role in reducing geographic barriers for rural and regional educators by providing local access to programs, facilities and networks.

Each centre is staffed by a locally embedded team with strong knowledge of their community, education context and stakeholders. These teams lead engagement with schools and regional partners, support participation in Academy programs, and contribute to broader public engagement and promotion of the profession.

The Division also leads the delivery of major statewide initiatives and events, including large-scale conferences, and contributes to whole-of-Academy strategy, planning and implementation. It works closely with all Academy divisions to ensure coordinated, high-quality delivery across the state.

About the Role

This position commences 1 January 2027 and is Fixed Term until 31 December 2027.

The Participant and Program Support Officer is the face of the Bairnsdale Regional Centre, providing hands-on support to ensure every participant has a positive and seamless professional learning experience. Working within a collaborative team, this role supports the day-to-day running of the cent re and its programs, from registration through to room set-up.

The responsibilities of the Participant and Program Support Officer include:

Providing high-quality end-to-end administrative and logistic support from program inception and participant registration through to program conclusion

Supporting participant communications across program stages using established processes and templates

Setting up rooms and virtual environments for professional learning events, including catering and accessibility coordination

Supporting the hiring of the Regional Centre for external use, including by schools, local community, and commercial organisations.

Providing administrative support to the Regional Centre, including maintaining relationships with local facilities management service providers to ensure safe and effective operations.

Capabilities

Demonstrated experience in supporting a customer-facing operational environment to respond to participant enquiries, escalating complex issues as required

Ability to maintain accurate participant records and systems

Ability to assist with participant registration, onboarding and communications

Attention to detail and strong organisational and administrative skills to support program processes

Managing the efficient hiring and use of the facility by external parties.

Good communication and collaboration skills

Willingness to learn and adapt.

Desirable Qualifications and Experience

Relevant experience working in a dynamic, high performing customer service team.
