POSITION PURPOSE/OBJECTIVE

Provide administrative and coordination support across operational services, contributing
to the effective delivery of day-to-day activities and the continuous improvement of
systems and processes to enhance service efficiency.

KEY RESPONSIBILITIES

Provide administrative and coordination support to enable effective day-to-day service

delivery across operational areas.

Coordinate and process service requests, work orders, invoices and related

documentation in a timely and accurate manner.

Maintain and update corporate systems to ensure data integrity and accessibility of

information across operational teams.

Generate and interpret reports to support service delivery, resource planning and

informed decision-making.

Support the coordination of operational resources and requirements across services

to ensure continuity and responsiveness.

Prepare and maintain templates, records and operational documentation to support

consistent and efficient processes.

Respond to internal and external requests in a timely, courteous and professional

manner, ensuring a high standard of customer service.

Support operational logistics across services, including coordinating and undertaking

urgent deliveries and associated driving tasks as required.

Provide relief and support across services during periods of leave or increased

demand, ensuring continuity of administrative functions.

Contribute to the development and continuous improvement of administrative systems,

processes and practices to enhance service efficiency and quality.

Support operational teams in the implementation of new systems, procedures and

ways of working.

Assist with general administrative and coordination tasks as required to support

service delivery outcomes.

Workplace Health & Safety

Ensure compliance with WHS obligations and responsibilities as outlined in Councils
policies and procedures and under the relevant WHS legislation. These include but are
not limited to: identifying potentially unsafe situations or work practices and notifying your
Supervisor or Manager (or the Health, Safety Manager/Area Safety Representative);
never performing a task that you believe is dangerous or for which you do not have the
experience, or have not received appropriate instructions and training or where the correct
equipment to carry out the task safely is not available; always work in a safe manner and
in accordance with safety instructions, where applicable; use the work equipment supplied
for the job, in accordance with the manufacturer's instructions), and any personal
protective equipment, which the Council deems necessary and has provided; be safety
aware and report any actions to your line manager which will assist the Council to meet
its legal workplace health and safety obligations.

You have the right to cease or direct cessation of unsafe work. In addition, you are always
required to comply with Councils Asbestos Management Plan and Policy.

Compliance & Risk

You will support the team to meet risk management responsibilities under Council’s
Enterprise Risk Management (ERM) Policy and Procedure by identifying and reporting
potential issues in a timely manner.

COMMUNICATION

This position requires regular communication with internal and external customers to
ensure operational service requests are managed in a timely and effective manner. The
ability to understand customer needs and coordinate information, resources and service
requirements across operational teams is essential.

JUDGEMENT & PROBLEM SOLVING

Sound judgement is essential to ensure accurate and timely information is provided to
support service delivery. The role requires problem-solving to respond to operational
issues, prioritise competing demands and address urgent service requirements across
teams.

AUTHORITY

Authorised to raise purchase orders through Council’s requisition system.

Apply sound judgement to analyse information and select appropriate solutions from

available options.

Make informed decisions based on analysis of information, contributing to

improvements in processes and practices.

Plan and coordinate day-to-day activities and resources to support timely service

delivery.

Apply understanding of the operational and business environment to support efficient

service outcomes.

SKILL, EXPERIENCE, QUALIFICATIONS & BEHAVIOURAL COMPETENCIES

ESSENTIAL
• Experience in an administrative or business support role within a complex or multi-

functional environment, with the ability to effectively coordinate tasks and workflows
across teams.

Demonstrated ability to communicate clearly and professionally with internal and

external stakeholders, providing responsive and customer-focused service.

Proven ability to plan, organise and prioritise work, manage competing demands and

meet deadlines in a high-volume environment.

Experience maintaining accurate records, processing documentation and updating

corporate systems, with strong attention to detail.

Demonstrated hands-on experience using TechnologyOne, including

Warehouse/Inventory/Purchasing functions, and the ability to effectively utilise
business systems and technology.

Sound problem-solving skills, with the ability to exercise judgement, respond to

operational issues and address urgent service requirements.

Ability to work both independently and collaboratively, demonstrating initiative,

flexibility and a willingness to adapt to changing priorities and service needs.

Commitment to continuous improvement, including supporting the implementation of

new systems, processes and ways of working.

Working knowledge of Workplace Health and Safety and organisational policies, with

a commitment to maintaining a safe and compliant work environment.

Current Class C Driver Licence.

DESIRABLE
• Experience in local government or a similarly complex organisational environment.

Experience supporting operational service areas (e.g. fleet, depots, infrastructure or

similar), including coordination of service requests and documentation.

Experience preparing reports, templates or operational documentation, including the

ability to accurately record and summarise meeting minutes and outcomes.

QUALIFICATIONS
• Certificate or qualification in business administration or a related field, or equivalent

demonstrated experience.
