About the role:
We are seeking a proactive and highly organised Administrative Officer to support the delivery of the School of Medicine's academic programs across regional teaching locations, including Warrnambool and Ararat. In this varied and rewarding role, you will play a key part in creating a positive learning experience for future medical professionals by coordinating placement opportunities, managing agreement and compliance requirements, supporting assessments, and ensuring the smooth operation of day-to-day program delivery.
Working within a collaborative and multidisciplinary team, you will provide high-quality administrative and operational support across a range of activities. From coordinating placements, to managing records and supporting logistics for specialist teaching sessions and assessments, no two days will be the same. Your contribution will help ensure programs are delivered efficiently, meet quality standards, and provide an outstanding experience for students and academic staff.
As an Administrative officer, you will:
- Coach, guide and support team members as needed to deliver against individual, team and University goals and recognise the importance of teamwork and of effective communication amongst team members and build rapport within immediate team in ways that are respectful and inclusive of others.
- Clarify expectations and respond promptly to customer requests, queries, or complaints to ensure customer needs are met to agreed standards and timelines and seek to understand the audience by increasing knowledge of a diverse range of communication needs.
- Presents information in a clear and structured way and communicates concisely by focusing on key messages and checks that messages delivered are understood and tailor communication style and message according to audience needs.
- Actively seek to maintain positive relationship and support team members in times of pressure and change and build productive relationships with a diverse range of existing stakeholders and actively seek to maintain positive relationships.
To be successful, you will:
- Bring experience in administration in a large organisation with complex administrative structures, policies, and procedures.
- Consider attention to detail, organisation, and communication among your key strengths, using these capabilities to effectively support stakeholders while delivering a high standard of administrative support.
- Be willing to travel to Warrnambool 3 days per week.
- Degree without subsequent experience; or Diploma with experience; or Post Trades Certificate/Advanced Certificate with relevant experience; or equivalent combination of experience and/or education/training.
