Full Job Description

Location: AVWA Offices

Reports to: PAG Facilitator & Project Coordinator

Employment type: Casual

Role purpose:

The Group Facilitator Assistant & Driver supports the delivery of safe, engaging, and culturally appropriate group activities for clients.
The role supports the delivery of Social Support-Group program (formerly known as Planned Activity Group or PAG) by assisting group facilitators in coordinating daily activities, ensuring a safe and welcoming environment for clients, and supporting the smooth operation of group sessions. The role helps enhance clients’ social engagement, well-being, and participation while ensuring compliance with organisational procedures, safety standards, and program requirements.

What we are looking for:

1. Client Transport & Safety

Safely transport clients to and from group activities using a mini bus or approved vehicle
Ensure all clients are supported during pick-up and drop-off, including mobility assistance where required
Monitor client safety during transport and report any concerns
Ensure vehicle safety checks and basic maintenance requirements are followed

2. Program & Activity Support

Support the Group Facilitator in delivering daily group activities
Assist in setting up and packing down activity spaces, including tables, chairs, and equipment
Support preparation and delivery of group activities
Provide additional support to clients with higher care needs during activities
Assist in maintaining a welcoming and inclusive environment for all clients

3. Client Engagement & Administration

Greet clients and support attendance sign-in and fee collection
Follow up with absent clients and report to Assessment staff as required
Communicate client feedback, concerns, or requests to relevant staff

Support clients to complete required forms (e.g. OH&S, incident/accident forms)

4. Catering & Volunteer Support

Assist with catering tasks, including setting up/packing up morning tea or meals
Support food preparation and coordination
Inform catering staff of client numbers and dietary requirements
Supervise and support volunteers and cooks as required
Manage grocery invoices and related documentation

5. Compliance & Documentation

Maintain accurate client attendance records and data entry into systems
Record individual support provided (SS-I) and update client progress notes as required
Scan and file attendance and related documents
Update client information records following each session

Maintain group compliance records, including:

Fridge temperature logs
Fire drill records
First Aid kit checks
Outing venue inspections
Client non-response documentation

6. Office & Administrative Support

Assist with quarterly activity planning based on client care plans

Provide administrative support to facilitators as required

Ensure timely and accurate record keeping

The above list is not exhaustive, and the role may change to meet the overall objectives of AVWA. Any other relevant duties as reasonably required by the management.

Who you are:

Essential:

Certificate or Diploma in Community Services, Aged Care, Disability, or a related field.
Demonstrated ability to support older people and/or people with disabilities in group settings
Ability to work collaboratively with staff, volunteers, and clients.
Strong organisational and multitasking skills.
Basic administrative and record-keeping skills.
Ability to follow organisational procedures and safety guidelines.
Willing to transport elderly clients.
Willing to drive the AVWA minibus
Current First Aid and CPR

Desirable:

Bilingual skills (Vietnamese/English) are highly desirable to effectively engage with our core audience.
Experience working within the non-profit or community care sector.
