Role overview
The Clinic Support Frontline team plays a vital role in ensuring the smooth day to day operation of our busy mental health clinic. As the first point of contact for clients, families, clinicians, and service providers, this role is responsible for creating a welcoming, supportive, and professional experience while maintaining a high level of confidentiality and care.
This role focuses on delivering an exceptional client experience and supporting the daily operational needs of the clinic. The Frontline team provides essential administrative support that enables clinicians and operational teams to deliver high quality care in a responsive and efficient environment.
This role requires an understanding of mental health presentations and a compassionate approach when supporting clients, families, clinicians, and service providers
Key Responsibilities

Deliver exceptional customer service and act as the first point of contact for clients, clinicians, and stakeholders.

Manage appointments, referrals, client onboarding, cancellations, waitlists, and diary scheduling.

Provide accurate information regarding services, fees, referrals, and treatment pathways.

Process client payments, Medicare rebates, and third-party claims.

Support clinicians with diary management, administration, and client communication throughout their care journey.

Maintain accurate client records and referral information across multiple systems, including Halaxy.

Coordinate daily clinic operations, including reception, opening and closing procedures, and general administration.

Build positive relationships with clients through professional, empathetic, and solution-focused communication.

Collaborate with clinicians and team members to support a high-performing and client-focused environment.

Ensure compliance with privacy, confidentiality, safety, and organisational policies and procedures.
About you
-
Minimum 3+ years experience in a customer service or administration role

Strong verbal and written communication skills with a friendly, empathetic, and professional approach

Ability to work effectively in a fast-paced clinic environment while managing multiple tasks and competing priorities

High level of attention to detail and organisation
- Confidence in handling challenging conversations
- Strong administration and problem-solving skills
- Ability to work both independently and collaboratively within a team across locations

Willingness to learn, ask questions, and seek support when needed
- Experience using different computer systems – Microsoft 365, Word, Excel, Powerpoint, Teams, knowledge of Halaxy is an advantage

You will hold a current Working With Children Check and Police Check (or be willing to obtain both prior to commencement).
