Digital Coordinator
6-month fixed term | Part-time, 3 days per week | 1 day WFH | Ultimo
A hands-on digital role where you'll keep ActivateUTS websites running smoothly and empower marketing teams to own their digital presence.
ActivateUTS brings the UTS experience to life beyond the classroom. We run 190+ student clubs and societies, support 455 elite athletes across 44 sports, and delivered over 5,800 events last year. Our commercial venues, including Aerial Function Centre, The Underground, The Loft on Broadway, The Terrace, ActivateFit.Gym and UTS Store, generate revenue that is fully reinvested into student programs and experiences. We are a not-for-profit of around 60 permanent staff and 100+ casuals across hospitality, fitness, events, retail and student engagement, all on one campus in the heart of the city.
Reporting to the Head of IT & Digital, the Digital Coordinator provides continuity and capability across the ActivateUTS web portfolio while ownership of website content transitions to the teams that own each business function.
The role has two priorities. The first is continuity: keeping the ActivateUTS, ActivateFit.Gym, Loft, Underground, Aerial and UTS Store sites publishing accurately and on time through the transition and through pre-semester and O'Day peaks. The second is enablement: training the Commercial Marketing and Student Life and Sport Marketing teams to administer their own sites confidently, refreshing supporting documentation, and acting as the first technical point of contact before matters are escalated to IT or the retained agency.
This is a hands-on delivery and training role based on campus at Ultimo, with one day per week worked from home.
- Train Commercial Marketing and Student Life and Sport Marketing staff to publish, build and maintain content across their own sites in WordPress and Elementor.
- Refresh, consolidate and maintain CMS user guides and reusable training resources.
- Deliver CMS induction and standards training for new Marketing, clubs and sport users.
- Maintain a record of gaps that emerge through the transition and the action taken to close them, to inform the review of ongoing requirements.
- Provide publishing support and overflow capacity across all ActivateUTS sites, particularly through pre-semester and O'Day peaks.
- Build and quality assure complex pages, landing pages and campaign builds that sit beyond the current capability of the marketing teams.
- Support e-commerce and retail product and coupon updates and update the supporting instructions.
- Ensure published content meets digital standards, accessibility (e.g. WCAG) and legal obligations, and lead QA to minimise errors.
- Provide guidance on site architecture, usability and content structure as sites are handed to their new owners.
- Act as the first technical point of contact for CMS and site issues, triaging with the relevant marketing function and IT before escalation.
- Diagnose and resolve routine break-fix issues across the CMSs, escalating unresolved matters to IT and the retained agency through the agreed process.
- Support release testing, including test preparation, defect recording, retesting and sign-off input.
- Monitor integrations and third-party tools linked to the website portfolio, and manage or update plugins as required.
- Support marketing teams to produce reporting on website traffic, performance and user engagement using GA4 and Looker Studio.
- Maintain existing dashboards and contribute digital statistics to board reporting as required.
- Monitor and report on Google Ads campaign performance where it relates to website landing pages and conversions.
- Build the capability of the marketing teams to run and interpret their own reporting.
You are a hands-on digital professional with strong WordPress and CMS experience who gets things done accurately and on time. You are equally comfortable building a complex landing page, troubleshooting a plugin conflict, and sitting with a marketing team member to walk them through publishing their first page. You write clear documentation, communicate technical concepts in plain language, and work well autonomously across a part-time schedule with competing priorities.
- Minimum 3 years' experience in a digital production, web content, CMS administration or digital marketing role.
- Hands-on proficiency in WordPress CMS, including page builders like Elementor.
- Experience working with web hosting platforms such as Kinsta or similar.
- Demonstrated ability to train and support non-technical users and to write clear procedural documentation.
- Working knowledge of HTML and familiarity with digital publishing and development workflows and web accessibility standards (e.g. WCAG).
- Sound understanding of UX, SEO and content strategy.
- Ability to triage technical issues and manage escalation to external vendors and agencies.
- Attention to detail and the ability to work autonomously across a part-time schedule with competing priorities.
- Experience administering multiple WordPress sites and hosting environments (Kinsta or similar).
- Familiarity with Wrike, JIRA or other project management tools.
- Google Tag Manager and Search Console experience.
- Experience with e-commerce plugins (WooCommerce or similar).
- Basic Photoshop skills and strong editing and copywriting ability.
- Awareness of AI applications in digital production workflows.
- Understanding of data privacy regulations and consent management (e.g. Australian Privacy Act, GDPR).
