We are seeking an organised and proactive Accommodation & Onboarding Administration Officer to join our People & Sustainability team, based in our Brisbane CBD office.

About the Role

Based in our Brisbane CBD office and will include travel to our operational sites approximately once per month, providing an opportunity to build relationships with site teams, village personnel and key stakeholders.

This is a varied role with responsibility across two key areas of our business – Village accommodation administration and new employee onboarding and mobilisation.

You’ll work closely with new starters, HR, Talent Acquisition, to ensure onboarding, travel and accommodation arrangements are coordinated efficiently and provide a positive employee experience. As a key point of contact for accommodation administration, you will support the effective management of our accommodation booking system, village and housing requirements, booking compliance and associated financial processes.

Your key responsibilities will include:

Coordinate end-to-end onboarding and mobilisation activities for new employees.
Manage pre-employment requirements including medicals, background checks, documentation, training and site access.
Coordinate new starter travel, accommodation, IT equipment, uniforms and other commencement requirements.
Maintain accurate onboarding records across SuccessFactors, Damstra and other relevant systems.
Manage accommodation bookings, enquiries and allocations across the business, providing first-level RMS Corporate Portal support to contracting companies and other stakeholders.
Manage accommodation allocations in RMS for one of our 3rd party Villages, supporting the effective utilisation and management of our room inventory.
Monitor accommodation changes, no-shows and booking exceptions, liaising with employees and contractors as required.
Complete accommodation-related SAP administration, invoice processing and monthly reconciliations.

About You

You are highly organised, enjoy working with people and take pride in getting the details right. You’re comfortable juggling multiple priorities and know how to keep things moving while providing a positive experience for employees and stakeholders.

You will bring:

Strong administration, coordination and organisational skills.
Excellent attention to detail and accuracy.
Strong communication and stakeholder management skills.
The ability to manage multiple priorities and deadlines in a busy environment.
Confidence using Microsoft Office and the ability to quickly learn new systems.
Previous experience with HR, onboarding, travel, accommodation or mobilisation systems would be advantageous.
Experience with SAP SuccessFactors, RMS or similar systems within the mining/resources sector would be highly regarded.
The ability to travel to our operational site approximately once per month.
