Senior Project Administrator – Adelaide | 12-Month Contract

TS Staffing is partnering with a major global engineering and resources organisation to recruit an experienced Senior Project Administrator for a new project being established in Adelaide.

This is a great opportunity for an experienced administrator who enjoys working in project environments and knows how to bring structure to busy teams, competing priorities and moving parts.

Project experience is key. We’re particularly interested in people who have worked in mining, resources, engineering, construction or another complex project environment and understand the pace, structure and coordination required to keep a project office running effectively.

This isn't a traditional office administration role. You’ll be working closely with two Senior Managers and their teams, providing high-level administrative support while helping establish the systems, processes and day-to-day rhythm of a new project office.

The Opportunity

You’ll play a central role in getting the project office up and running and keeping it organised as the project develops.

Your responsibilities will include:

Providing high-level executive and project administration support
Helping establish the project office, including processes, systems, templates, trackers and ways of working.
Coordinating domestic and international travel, accommodation, mobilisation and associated logistics.
Managing calendars, meetings, workshops, team events and key project forums.
Preparing agendas, coordinating meetings, taking accurate minutes and tracking actions through to completion.
Maintaining project documentation, distribution lists, organisational charts and document control systems.
Preparing reports, presentations, expense claims, correspondence and other project documentation.
Acting as a central point of coordination between senior leaders, project teams, internal functions and external stakeholders.
Supporting onboarding, meeting rooms, catering, facilities and other day-to-day project office requirements.
Identifying opportunities to improve administration processes and make the project office more efficient as it evolves.

About You

We’re looking for an experienced administrator who understands what it takes to support a busy project team.

Ideally, you’ll have worked in a mining, resources, engineering, construction or similar project environment. We’re also open to candidates from major infrastructure, energy, utilities, professional services or other complex project environments.

The key is that you’ve worked in a project setting before and are comfortable operating around senior stakeholders, multiple workstreams and changing priorities.

To be considered, you’ll ideally bring:

Experience in project administration, senior administration, executive administration or project office support.
Previous experience supporting projects within mining, resources, engineering, construction or a similar complex environment.
Strong organisational skills and the ability to manage multiple priorities without losing track of the detail.
Experience coordinating meetings, travel, documentation, actions and project-related logistics.
Confidence working directly with senior managers and multidisciplinary project teams.
Strong written and verbal communication skills.
Excellent attention to detail and a proactive approach to getting things done.

Strong Microsoft Office skills and the ability to pick up new systems quickly.
