The Role
- Full time position
- Monday - Friday 8:00am - 5:00pm
- Salary between $78,000 -$85,000 p/a depending on experience
We are seeking a motivated Contracts Administrator to support the delivery of construction projects through effective contract administration, procurement coordination, and project delivery support.
Working closely with Project Managers and the construction team, this role is responsible for administering contract processes, managing project documentation, and supporting procurement and subcontractor management across multiple projects.
Main Responsibilities include (but not limited to):
- Administer and manage subcontract and contract documentation, including contract registers, variations, and project records
- Maintain and control contract documentation systems ensuring accuracy, version control, and compliance
- Manage contract correspondence and ensure timely follow-up of contractual matters
- Coordinate and manage tendering, procurement, and subcontractor engagement processes
- Administer subcontractor compliance requirements, including verifying licences, insurances, and warranties
- Monitor subcontractor and supplier performance against contractual scope, delivery requirements, and project timelines
- Review and assess invoices, purchase orders, and subcontractor claims to ensure alignment with contractual and project requirements
- Prepare and maintain procurement registers, variation registers, and project reports
- Identify and escalate discrepancies or contractual issues as required
- Coordinate communication between subcontractors, suppliers, consultants, and internal teams to support project delivery
- Prepare, maintain, and analyse project and procurement reports to support project performance
- Record and manage meeting minutes and action registers to ensure timely follow-up
- Maintain compliance records including insurances, licences, warranties, and project close-out documentation
- Support implementation of organisational systems and quality management procedures
- Respond to project and contract-related enquiries and provide guidance on documentation and compliance requirements
Skills & Experience:
Essential
- Tertiary qualification in Business, Construction, Project Management, or a related field
- At least 2 years relevant experience in contracts administration, procurement coordination, or construction project administration, or an equivalent combination of education and practical experience
- Strong organisational, communication, and reporting skills
- Ability to manage contract documentation, procurement processes, and project coordination activities
Desirable
- Experience in construction or project-based environments
- Exposure to contract documentation, variations, progress claims, and procurement workflows
