About the Opportunity
We are seeking an experienced Administration Coordinator to lead day-to-day coordination of our Virtual Ambulatory Care (MVAC) administration team. This is a key leadership role at the heart of a service that delivers a safe and efficient “single front door” for community-based and virtual care services across MLHD, supporting equitable and timely access for patients, carers and referrers.
In this role, you will:

Coordinate daily administration team operations, including work allocation, triage of competing priorities, and ensuring coverage aligns with demand and MVAC operating hours

Oversee end-to-end referral administration processes across phone, email and approved e-referral/webform channels, ensuring timely registration, accurate data entry and adherence to privacy and record-keeping requirements

Ensure first appointment booking and patient communications are completed consistently, in line with agreed service templates and booking rules

Maintain and continuously improve administrative workflows, scripts, checklists and service templates that support admin-decidable eligibility decisions and identify when clinical triage is required

Support effective relationships with spoke service teams, managing exceptions and handover requirements, including escalation to clinical staff when required

Monitor and report key intake KPIs and operational measures, escalating emerging risks and recommending improvement actions

Lead and support onboarding, training and coaching of administrative staff, including digital systems, customer service standards and cultural safety principles

Contribute to quality and safety activities and support service improvement projects (PDSA cycles) that strengthen access and efficiency

Provide high-level administrative support to the MVAC leadership group, including meeting support, action tracking and correspondence management

About You
Our ideal candidate will demonstrate:

Demonstrated experience supervising or coordinating an administrative team in a complex, high-volume setting, with the ability to allocate workload, set priorities and meet deadlines

Strong understanding of customer service and intake processes, with the ability to apply documented eligibility/booking rules and escalate appropriately for clinical triage

Demonstrated ability to develop, document and implement administrative workflows, procedures and tools, and to embed continuous improvement practices

High level communication and stakeholder engagement skills, including the ability to influence, negotiate and work collaboratively with clinical teams and referrers

Strong digital literacy with advanced proficiency in Microsoft Office and experience using patient administration/scheduling systems (eMR) and call/referral management tools

Demonstrated ability to monitor, interpret and report service data/KPIs to identify issues, inform decisions and drive performance improvement

A current Class C Driver's Licence

National Police Check (or willingness to obtain)
