Coordinate, manage and support specialist aged care services while delivering exceptional administrative and customer service in a fast-paced healthcare environment.

Employment Type: Temporary Part Time (Up to 18 January 2027)
Position Classification: Administration Officer Level 2A
Remuneration: $35.33 - $35.84 per hour
Hours Per Week: 12 (6 hour shift twice a week, hours of 8.30am - 3pm) (Job Share may be considered for part time hours)
Location: Westmead Hospital

Where you'll be working

The Aged Care Specialty Clinic is part of Westmead Integrated Seniors Healthcare (WISH), a comprehensive service dedicated to supporting the health, independence and wellbeing of older people across Western Sydney. Working alongside experienced clinicians and healthcare professionals, you'll play a vital role in ensuring the smooth operation of specialist aged care services and delivering a positive experience for patients, families and stakeholders.

Our services include Seniors Assessment Services (ACAT and RAS), Rapid Access to Care & Evaluation (RACE), Dementia Advisory Service (DAS), Transitional Aged Care Programme (TACP), Geriatric Medicine and Aged Care Specialty Clinics.

What you'll be doing

As the Administration Officer, you will be the first point of contact for patients, carers, clinicians and stakeholders, providing high-quality administrative and clerical support across multiple aged care services. You will play an integral role in coordinating clinic operations, managing information systems and ensuring efficient service delivery.

Key responsibilities include:

Managing telephone enquiries, appointment bookings, patient communications and front-line customer service.
Coordinating clinic administration including scheduling, interpreter bookings, patient reminders and preparation of clinic documentation.
Maintaining accurate electronic records, data entry and document management using healthcare information systems.
Supporting clinical teams through correspondence management, reporting, billing processes and follow-up coordination.
Providing flexible administrative support across the department and contributing to continuous service improvement initiatives.

Excellent telephone manner and a high standard of customer focus skills.

Excellent communication skills both written & verbal.

Proven organisational skills & ability to perform under pressure.

Demonstrated experience and proficiency in all clerical & data entry skills, including use of Microsoft Office software Word & Excel, and willingness to learn & undertake use of internal databases.

Demonstrated ability to work as part of a team.

Previous experience in a health setting.

Knowledge of Medical Terminology.
