Due to continued business growth, we are seeking an experienced full time Office Manager to oversee our administration and office operations while supporting our construction and management teams.
About the Role
Reporting directly to senior management, you will be responsible for managing the day-to-day operations of the office and ensuring efficient administrative, human resource and business support services across the organisation.
Key Responsibilities
- Contribute to the planning, development and continuous review of office services, administrative systems, office procedures and service standards.
- Establish office priorities and ensure the efficient delivery of administrative support across the business.
- Allocate and coordinate human resources, office space, equipment and administrative resources to maximise operational efficiency.
- Assign work to administration staff and monitor performance to ensure tasks are completed accurately and within required timeframes.
- Coordinate personnel activities including recruitment administration, onboarding, training, performance management, payroll coordination, promotions and staff supervision.
- Manage office records, document control, filing systems, confidential information and business accounts.
- Coordinate meetings, calendars, travel arrangements and executive administrative support.
- Prepare business correspondence, reports, presentations and management documentation.
- Liaise with directors, project managers, accountants, consultants, clients, subcontractors, suppliers, local authorities and other professionals to coordinate office operations and facilitate the timely resolution of business issues.
- Support contract administration by maintaining project documentation, approvals, licences, insurance records and compliance registers.
- Assist with financial administration including invoicing, purchase orders, expense tracking, accounts coordination and reporting.
- Monitor procurement of office supplies and ensure office equipment, systems and facilities are maintained and operating efficiently.
- Ensure compliance with Workplace Health and Safety (WHS) legislation and company safety procedures.
- Ensure office operations comply with relevant Commonwealth, State and Local Government legislation, policies, company procedures and regulatory requirements.
- Support continuous improvement initiatives to enhance office productivity, efficiency and customer service.
About You
To be successful in this role you will have:
- Relevant qualification in Business, Management or a related discipline.
- Previous experience as an Office Manager or Senior Administrator.
- Excellent organisational, communication and leadership skills.
- Strong knowledge of office administration, document management and business processes.
- Experience coordinating HR administration, payroll support and employee records.
- High attention to detail and the ability to manage multiple priorities.
- Strong computer skills including Microsoft Office Suite.
- A proactive, professional and solutions-focused approach.
