Casual Administration Assistant

Calm Minds Clinic | Newcomb, VIC

Hours: Wednesdays & Fridays, 9:00 AM – 5:00 PM (plus additional casual coverage as needed)

About the Role

We are seeking a reliable, warm and self-motivated Administration Assistant to serve as the friendly face and voice of Calm Minds Clinic and our Sensory Centre. You will work alongside our supportive team of psychologists and counsellors, taking ownership of reception and daily administrative workflows.

Pathway for Growth:

Are you a Provisional Psychologist looking for a supportive practice environment to start in admin, with a potential pathway to transition into seeing clients down the track? You are encouraged to apply! If you are not a Provisional Psychologist but still possess what we are looking for, we would still love to hear from you.

Key Responsibilities

Reception & Greeting: Warmly welcome clients and families to the clinic and Sensory Centre.
Client & Practice Admin: Answer phone calls, manage emails, schedule appointments and maintain client records using Halaxy.
Autonomous Operations: Work independently to keep reception and public spaces calm, organised, tidy and running smoothly.

What We Are Looking For

Strict Confidentiality: High discretion and absolute commitment to maintaining client privacy and data security.
Independent & Team-Minded: Capable of working autonomously while communicating effectively with our team of psychologists and counsellors.
Warmth & Communication: Clear, empathetic and professional verbal and written communication skills.
Tech-Savvy: Comfortable with clinic management software (like Halaxy) and standard office tech. If you’ve not used Halaxy, we can support you with training.
Requirements: Current Working with Children Check (WWCC) and Police Check.
