About the Role
An exciting opportunity exists for an experienced and highly organised Administration Officer to join the Child Protection Team (CPT) at John Hunter Children’s Hospital.
This role provides specialised administrative, clinical, and interagency support that is critical to the effective functioning of a highly specialised multidisciplinary service. The position requires discretion, professionalism, and the ability to work confidently within a complex and sensitive environment.
About the Team
The Child Protection Team is a multidisciplinary service providing expert medical, psychosocial, and interagency support to children and young people where there are concerns regarding abuse, neglect, or significant harm.
The team works closely with paediatricians, social workers, nursing staff, and external agencies including DCJ and NSW Police to ensure coordinated, timely, and legally compliant responses.
The team is known for its collaborative, respectful, and professional culture. Administrative staff are highly valued as integral members of the team, contributing directly to clinic coordination, interagency communication, and medico-legal processes.
Key Responsibilities
About You
In this role, you will provide high-level administrative support within a busy and specialised clinical environment, contributing directly to the coordination and delivery of child protection services.
A typical week will see you coordinating multiple paediatric clinics, managing referrals and appointment scheduling, and preparing clinical correspondence and reports for medical staff and external agencies. You will handle a high volume of communication, including phone calls, emails, and correspondence, while maintaining accurate records in line with NSW Health and legislative requirements.
You will also support payroll, invoicing, and Medicare billing processes, ensuring all administrative functions are completed accurately and within required timeframes.
To be successful in this role, you will be a highly organised and proactive administration professional with the ability to manage competing priorities in a fast-paced environment. You will bring strong communication skills, both written and verbal, and demonstrate professionalism and discretion when working with sensitive and confidential information.
You will be confident using a range of computer systems, databases, and Microsoft Office applications, with the ability to quickly learn medical terminology and internal systems. Your ability to work both independently and collaboratively within a multidisciplinary team will be essential.
You will also demonstrate strong problem-solving skills, attention to detail, and a commitment to delivering high-quality administrative support. A compassionate, respectful, and culturally sensitive approach is critical, along with the ability to remain calm and effective in a complex and sometimes high-pressure environment.
Experience in a health, legal, or community services setting, as well as exposure to clinical administration or child protection, will be highly regarded.
