POSITION DESCRIPTION
The Executive Assistant provides high-level administrative and executive support to the Assistant Directors of Catholic Schools, enabling effective coordination, communication, and operational efficiency across their areas of responsibility. Working in a dynamic and multifaceted environment, this role supports the strategic and operational leadership of the Assistant Directors by managing priorities, streamlining workflows, and ensuring alignment with the Diocese’s mission, vision, and strategic objectives.
Intergral to success in this position is the ability to build and foster positive and collaborative relationships with key internal and external stakeholders to provide support to the Assistant Directors. In this position, discretion, judgement, initiative, and confidentiality is imperative at all times.
While primarily supporting the three Assistant Directors, this position may also provide interim support to the Director of Catholic Schools as required.
Skills and Experiences:
EXPERIENCE/CRITERIA
- Ability to articulate a clear understanding of and a personal commitment to Catholic Education and to actively supporting the Catholic ethos and culture of the school.
- Demonstrated experience in providing high-level executive support in a senior leadership environment.
- Outstanding organisational and time-management skills, with the ability to manage multiple priorities with attention to detail.
- Excellent written and verbal communication skills, including the ability to draft correspondence, briefings, and reports.
- High level ICT skills with strong competency in the use of Microsoft Office suite (specifically PowerPoint, Excel, Content Manager, SharePoint, Outlook diary management and mail merge functionality).
- Proven ability to exercise sound judgement, discretion, and confidentiality.
- Interpersonal Skills: Strong capacity to establish and maintain positive working relationships within a team environment, and with stakeholders across levels both within and external to Catholic Diocese of Maitland-Newcastle. Ability to develop rapport and identify stakeholder interests to successfully navigate relationships.
- Information Management: Consistent adherence to maintaining high-level confidentiality and appropriately handling sensitive data. Good awareness of privacy obligations, policy, and procedure.
- Initiative and problem-solving: Ability to navigate conflicting demands and priorities. Capacity to self direct and be responsive to supervision and general direction when it is required. Experience innovating ways to improve quality and/or efficiency of own output.
- Capacity to work independently and collaboratively in a values-driven environment.
- Commitment to and understanding of the mission and values of Catholic education.
- Experience in an education or faith-based organisation context (Desirable).
- Familiarity with Catholic diocesan structures or school systems (Desirable).
QUALIFICATIONS
- Certificate or diploma in business administration or a related discipline.
- Current Working with Children Check (WWCC).
- Current Class C Driver’s Licence.
