Role Description
The Legal Receptionist/Office Assistant position is a full-time, on-site role located in Newcastle, NSW. The primary responsibilities include managing front-desk operations such as greeting clients and answering calls, scheduling appointments, maintaining the reception area, and assisting with administrative tasks. Additionally, the Legal Receptionist will provide support with legal document preparation and correspondence, ensuring efficient communication and operations within the office.
Key Responsibilities
Reception Duties
- Greet clients and visitors in a professional and welcoming manner
- Answer and direct incoming phone calls
- Manage the reception email inbox, including timely distribution of court-related correspondence
File Management
- Open, maintain, and close physical and electronic client files using our case management software, LEAP
- Manage scanning, filing, and document organisation
- Support legal secretaries with document preparation, printing, and archiving tasks
Office Support
- Collect and distribute daily incoming mail and coordinate outgoing mail and couriers
- Manage office supplies and stationery
- Assist with stationery ordering, printer maintenance, and general office supplies
- Liaise with building contractors, maintenance providers, and other external services where required
- Maintain the office and kitchen areas in a clean, tidy, and organised manner
- Prepare coffee and tea for the Principal and clients when required
- Assist the Principal with ad hoc tasks
About You
The successful candidate will have:
- Previous reception and/or administration experience (legal industry experience highly regarded)
- Excellent communication and interpersonal skills
- Strong attention to detail and organisational skills
- The ability to multitask and prioritise effectively
- A professional presentation and positive attitude
- Confidence using Microsoft Office programs and general office technology
- The ability to work independently and as part of a team
- A proactive attitude and willingness to assist wherever needed
- A willingness to learn and grow within the role
