Client Service Officer - Estate Planning and Administration – NSW Trustee and Guardian

Location: This role is based in Parramatta. This role has the option, after three ( months of employment for a hybrid working arrangement, working from home up to two (- days per week, subject to business requirements.
- Clerk Grade: Level 3/4. Base salary $87,199 p.a. to $95,482 p.a. plus 12% superannuation and annual leave loading.

About the team
The Estate Planning and Administration division is responsible for delivering NSW Trustee and Guardian’s commercial services in Will making, as trustee, attorney, and as administrator/executor of deceased estates.
The teams administer assets in accordance with the functions and obligations under the relevant legislation and makes legal decisions within legal frameworks and NSWTG’s prescribed delegations. The division delivers high quality service using a customer-centred approach and is delivered by:
- Estate Administration
- Trust and Powers of Attorney administration
- Intestate, Life Estates and Crime Confiscation/Civil Forfeiture administration
- Wills and Estate Planning
About the role
NSW Trustee and Guardian are looking for empathetic, organised and detail-focused Client Service Officers to support customers, beneficiaries and families through estate and trust administration.
In this role, you’ll manage a portfolio of matters, work with legal, taxation, property and financial specialists, and help deliver timely, respectful and customer-centred outcomes.
Trust Administration:
Make a meaningful difference by managing trust matters with accuracy, empathy and care. As a Client Service Officer in Trust Administration, you will support beneficiaries and stakeholders while ensuring each matter is administered efficiently and in line with NSWTG’s responsibilities.
You will manage a portfolio of 40–70 trusts, contribute to 6,000 pooled matters and build trusted relationships through clear, professional and compassionate communication.
In this varied role, you will:
- Process incoming funds, claims and distributions to beneficiaries.
- Assess funding requests and obtain supporting documentation.
- Liaise with solicitors, banks, insurers, financial institutions and government agencies.
- Interpret wills, deeds, legal documents and relevant legislation.
- Partner with legal, taxation, property and professional services specialists to deliver quality customer outcomes.
- Build strong relationships with beneficiaries and their parents or guardians through regular, compassionate updates.
Deceased Estate Administration:
Make a meaningful difference by guiding deceased estates through each stage with care, accuracy and professionalism.
You will manage a portfolio of 40–70 estates, build trusted relationships with beneficiaries and collaborate with specialist teams to deliver timely, customer-focused outcomes.
In this rewarding role, you will:

- Prepare and submit court applications.
- Liaise with banks, insurers, financial institutions and government agencies.
- Pay claims and distribute estate assets to beneficiaries.
- Keep beneficiaries informed through clear, empathetic communication.
- Partner with legal, taxation, property and professional services specialists to achieve quality outcomes.

About you

Essential requirements
- Ability to work at our Parramatta office.
- Willingness to be a part of a rotating phone roster shared on an equitable basis covering morning and afternoon shifts (between the hours of 9.00am to 5.00pm).
- Willingness to have phone calls and team email accounts monitored for quality assurance and training purposes, and to participate in one-to-one review sessions for calls and emails.
- Understand the Department’s Flexible Working Hours Agreement and to work within the required bandwidth.
