About the Role
The Allied Health Administrative Coordinator plays a critical role in delivering a seamless, high-quality client journey across Elcies Allied Health services, while providing exceptional administrative support to clinicians. This role is responsible for coordinating the end-to-end client experience, including intake, service allocation, appointment scheduling, billing, NDIS funding tracking, and ongoing communication with clients, families, support coordinators and plan managers to ensure services are delivered efficiently and without disruption.
Your Key Responsibilities:
- Coordinate the end-to-end client journey from initial enquiry and onboarding, through ongoing service coordination, to completion and discharge from the service.
- Manage intake, including gathering relevant background information and completing required intake documentation prior to service commencement.
- Ensure appropriate client-to-clinician matching based on presenting needs, age, and clinician suitability
- Prepare service agreements and manage bookings in line with NDIS requirements
- Monitor and track client funding utilisation and service delivery alignment
- Coordinate client reallocations when clinicians change availability or exit the service, ensuring continuity of care
- Manage waitlists and support client allocation processes

What You’ll Need to Succeed
Essential Criteria
- Demonstrated experience in an administrative or coordination role, preferably within allied health, disability, community services or a similar sector
- Strong understanding of the NDIS framework, including service agreements, funding utilisation and working with support coordinators and plan managers
- Proven ability to manage end-to-end administrative processes, including intake, scheduling, billing and client communication
