AP/AR Administration Assistant

They are currently seeking an AP/AR Administration Assistant to join their growing team and provide essential support across Accounts Payable, Accounts Receivable, and general administration functions. About the Role
Reporting directly to the Managing Director, you will play a critical role in supporting SecureTel's financial operations, ensuring accurate records, timely processing of transactions, and strong administrative support across the business.
Key Responsibilities
Accounts Receivable
- Assist with customer invoicing and debtor management.
- Upload and maintain invoices within customer portals.
- Monitor outstanding receivables and follow up payments.
- Reconcile customer accounts and investigate discrepancies.
- Support cash flow management activities.
- Maintain accurate customer records and account information.
- Assist with progress claims when required.
Accounts Payable
- Assist with end-to-end accounts payable processing.
- Process supplier and subcontractor invoices accurately and efficiently.
- Resolve supplier account enquiries.
- Monitor creditor balances and payment terms.
- Build and maintain strong supplier relationships.
Administration & Business Support
- Assist with administration and filing systems.
- Support purchase order administration and tracking.
- Manage email correspondence.
- Assist with supplier onboarding and account setup.
- Coordinate approvals and financial documentation.
- Provide administrative support to management.
- Support document control and compliance activities.
Compliance & Continuous Improvement
- Ensure compliance with company financial procedures and policies.
- Maintain confidentiality of financial and employee information.
- Identify opportunities to improve systems and processes.
- Support SecureTel's quality, safety, and compliance objectives.
About You
To be successful in this role, you will have:
Essential
- Minimum 2 years' experience in Finance and Administration.
- Strong Accounts Receivable and Accounts Payable experience.
- Experience using Xero accounting software.
- Sound understanding of bookkeeping principles and financial processes.
- Intermediate to advanced Microsoft Excel skills.
- Excellent attention to detail and accuracy.
- Strong organisational and time management skills.
- Excellent communication skills, both written and verbal.
- Ability to manage competing priorities and meet deadlines.
- Ability to maintain strict confidentiality.
Desirable
- Certificate IV in Accounting, Bookkeeping, or equivalent qualification.
- Experience within the security, trades, construction, maintenance, or service industries.
- Experience using Simpro software.
- Understanding of Fair Work and employment obligations.
