Full Job Description

Our professional education and migration agency, based in Melbourne, is seeking a Migration Administrative Assistant to join our expanding team.

This is a client-facing and detail-oriented role suited to someone who can work in a structured professional environment while also being proactive in identifying new opportunities, exploring potential markets, and supporting client engagement.

Prior migration experience is not required — full training will be provided to the right candidate.

Candidate Requirements:

Must hold Australian Permanent Residency or be on a PR pathway.
Strong English skills, with minimum IELTS 7 or equivalent preferred.
Ability to speak either Cantonese or Mandarin is essential.
At least 1 year of experience in a professional office environment, with a clear understanding of workplace etiquette, responsibilities, and professional communication.
Strong communication and interpersonal skills, with confidence in speaking to clients and following up on enquiries.
Proactive attitude, with willingness to explore potential markets, identify new opportunities, and support client engagement.
Interest in business development, client communication, and market research within the migration and education industry.
Strong attention to detail, with the ability to manage multiple tasks and meet deadlines.
Ability to work under pressure and maintain professionalism at all times.
Responsible, team-oriented, self-motivated, and eager to learn.
Willingness to continuously improve knowledge of migration processes, client service, and internal procedures.

Key Responsibilities:

Assist migration consultants with client applications, including preparing, checking, and managing documents.
Communicate with clients professionally and promptly via phone, email, and in person.
Follow up with clients regarding outstanding documents and ensure all submissions are complete and accurate.
Maintain accurate client records and support smooth workflow using internal systems.
Support migration consultants in meeting application deadlines and compliance requirements.
Ensure a high standard of confidentiality, attention to detail, and client service throughout the process.
Assist with identifying potential client enquiries and new market opportunities.
Conduct basic market research and support the team in exploring potential client groups and service opportunities.
Support client engagement activities, including responding to enquiries and assisting with follow-up communication.
Collaborate with internal team members to support case progress and resolve issues efficiently.
Continuously develop your knowledge of migration regulations, office procedures, and client service standards.
