KSC 1 ¿ Demonstrated capacity to manage and coordinate a range of administrative and compliance functions, including the ability to establish priorities, manage competing deadlines, maintain accurate records and ensure processes are completed in accordance with Department of Education requirements, school policies and established procedures.
KSC 2 ¿ Demonstrated knowledge and understanding of Occupational Health and Safety, risk management and compliance requirements, with the capacity to administer and monitor processes including eduSafe Plus, Emergency Management Plans, Essential Safety Measures, Rolling Facilities Evaluation and relevant safety registers and documentation.
KSC 3 ¿ Demonstrated capacity to communicate effectively and professionally with students, families, staff, leadership, contractors and external stakeholders, including the ability to provide clear written and verbal information, follow up outstanding matters and work collaboratively to achieve required outcomes.
KSC 4 ¿ Demonstrated technical knowledge and expertise in school administration systems and information management processes, including the capacity to accurately maintain student, attendance, enrolment, compliance and administrative records using CASES21, Xuno, eduSafe Plus, Microsoft Office and other relevant Department systems.
KSC 5 ¿ Demonstrated capacity to exercise initiative and sound judgement in providing advice and administrative support to the Principal, Business Manager and school staff, including the ability to identify issues, resolve routine matters, escalate risks appropriately and coordinate operational processes across the school.
KSC 6 ¿ Demonstrated commitment to professional learning and continuous improvement, with the capacity to maintain confidentiality, exercise discretion, manage sensitive information appropriately and contribute positively to the improvement of school administrative, compliance and operational processes.
The position is offered on a full-time basis.
Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.
Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.
The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.
This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 (e.g. therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.
An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.
Occupational Health, Safety and Risk Management
- Coordinate and maintain school OHS, risk and compliance processes, including eduSafe Plus, the Emergency Management Plan (EMP), Essential Safety Measures (ESM), Rolling Facilities Evaluation (RFE), safety registers and related documentation.
- Monitor compliance requirements, maintain accurate records and liaise with contractors and service providers regarding safety documentation and site requirements.
Student Administration and Attendance
- Coordinate student attendance processes, including follow-up of unexplained absences with families and staff, maintaining accurate records and preparing reports for leadership.
- Process student enrolments, transfers and exits, ensuring accurate data entry, documentation, confidentiality and compliance with Department of Education requirements.
- Support enrolment waiting lists, family communications and student transition processes.
Daily Operations and Staff Administration
- Support Daily Organiser functions, staff coverage, daily bulletins and other operational requirements.
- Coordinate staff induction administration, including compliance checks, documentation and record keeping.
Excursions, Incursions and Camps
- Coordinate administrative requirements for excursions, incursions and camps, including bookings, consent documentation, risk assessments, approvals and compliance records.
- Liaise with staff to ensure required documentation and processes are completed within established timelines.
Facilities and Contractor Administration
- Maintain the school key register and coordinate after-hours hire documentation and access arrangements.
- Liaise with cleaning, maintenance and other contractors regarding operational requirements, access and compliance documentation.
- Maintain relevant facilities, maintenance and contractor records.
Front Office and General Administration
- Provide professional front office, telephone and administrative support to students, families, staff and visitors.
- Maintain accurate filing, records and information management systems, ensuring confidentiality and compliance with privacy requirements.
- Provide administrative support to the Principal, Business Manager and school leadership, including whole-school administrative processes during peak periods.
- Undertake other duties consistent with the ES classification as directed by the Principal or Business Manager.
- Provide administrative support to the Principal Team and Business Manager.
- Other tasks as required by the Principal and Business Manager.

The school has 39 full and part-time teaching staff including a principal and two Assistant Principals, two Learning Specialists, 38 education support staff, a school psychologist and a social worker. A PLC approach to program planning is a feature of the school¿s curriculum development. The development of literacy and numeracy skills and the acquisition of critical thinking, problem solving, and decision-making strategies are a key part of our curriculum. The school runs a transition to school program during semester 2 each year called Pakky Seals.
The school serves a slowly expanding residential and outlying area in the South-East growth corridor. The school is situated 2 km east of Pakenham. Pakenham Hills Primary School is a medium-sized school with a current enrolment of 494 students.
The school comprises 22 permanent classrooms, Performing Arts, Visual Art, AUSLAN, and Physical Education rooms, a Library, and an Administration area. Two relocatable double classrooms have been integrated with the permanent buildings on a large site. A BER Multi-Purpose complex was opened at the beginning of 2011. The older gymnasium was refurbished and turned into a dedicated Performing Arts Centre in 2019. Students learn AUSLAN as an alternative language.
The school provides a large oval, basketball and netball courts, as well as junior, middle and senior adventure playgrounds. Maintenance of the buildings and development of the grounds is a priority to support our goal in providing a stimulating learning environment and ensuring that the school continues to operate in attractive buildings and surroundings. A shared community facility (Parent Zone) is co-located on the school site. This facility provides a range of allied health services to the local community.
