About the role
Are you ready to join the team at Australia’s newest Kenworth and DAF truck dealership? Welcome to Melbourne North Truck Centre, the latest addition to the extremely successful Hallam and Bayswater Truck Centres. As a full-service Kenworth and DAF Truck dealership, we offer new truck sales, parts, and mechanical servicing, proudly serving the North of Melbourne, including Ballarat territories. Currently operating from our interim location on Hume Highway in Somerton, we are eagerly anticipating the completion of our state-of-the-art dealership in 2028 in Mickleham, which is set to revolutionise the truck sales and service customer experience in Melbourne.
We are seeking an Admin & Accounts Clerk to fill a full-time position based at our modern dealership facility in Somerton.
Supporting the business through accurate accounts receivable administration while providing effective administration support including warranty claims, job costing and customer-facing service reception assistance
Duties & Responsibilities
- Administer accounts receivable to ensure timely and accurate processing, allocation, and reconciliation of customer payments.
- Set up and maintain customer accounts within the Dealer Management System, ensuring records, notes, and transactions are accurate and up to date.
- Issue monthly customer statements, monitor outstanding balances, and follow up on overdue accounts to support effective credit control.
- Review customer accounts and prepare reports on outstanding balances for management, liaising with internal departments to resolve queries and discrepancies.
- Process and submit warranty claims in line with manufacturer and company guidelines.
- Accurately cost service jobs, ensuring labour, parts, and sublet charges are correctly captured.
- Support service operations by assisting with reception duties, including greeting customers, handling enquiries, and booking service work.
- Provide administrative support to Service Advisors with repair orders, invoicing, and documentation, maintaining records in accordance with company policy.
- Monitor technician times and repair order status within the Dealer Management System and provide general administrative support to the Service Department as required.
Skills & Experience
- Previous experience in accounts administration preferred.
- Attention to detail with a customer and safety focus
- Strong organisational and time management skills.
- Clear verbal and written communication skills.
- Ability to manage competing priorities and work under pressure.
