Western Private Hospital, located in Footscray, is a 62-bed private acute hospital and is the longest serving private hospital in Melbourne’s west providing much needed services to the people in the expanding North West and Western regions of Melbourne and surrounding areas.
WPH’s facilities include four Operating Theatres, CSSD, Day Procedure Unit, Day Oncology Unit, Overnight Ward for CCU, HDU & Surgical patients, Cardiac Catheter Laboratory, Specialist Consulting Suites, PET Centre/Nuclear Medicine and supported by pathology, pharmacy, radiology and radiation therapy services.
About the Role
We are seeking an experienced, motivated and detail-oriented Accounts Payable Officer to join our dynamic finance team and take ownership of the AP function.
Reporting to the Finance Manager, you’ll be responsible for managing WPH’s financial obligations – from processing invoices and ensuring timely payments to maintaining accurate records and building trusted relationships with suppliers.
You will be based on-site in the office in Footscray on a permanent part-time basis working 3 days per week, and up to 5 days during peak periods and to complete month end processes.
Key Responsibilities include –
Invoice Processing: End-to-end from obtaining approvals and coding through to high-volume processing and recharging invoices to other entities; reviewing and verifying invoices for accuracy and compliance with company policies
Payment Runs: Preparing and processing supplier payments in line with company terms and schedules; and executing weekly payment runs
Supplier Reconciliation: Reconciling supplier statements to ensure accuracy of records
Credit Card Reconciliation: Process and monitor company credit card expenditure, ensuring timely and accurate reconciliations.
Query Resolution: Managing vendor inquiries regarding payments and resolving discrepancies
Record Maintenance: Maintaining accurate, up-to-date filing system and electronic records
Month End Support: Assist with month-end and year-end closing procedures
This is a hands-on role suited to someone who enjoys working within a fast-paced environment and takes pride in accuracy, organisation and workflow management to ensure effective financial processes.
Selection Criteria
Qualification in Accounting, Finance or related discipline is desirable
Proven experience in an Accounts Payable role (within the healthcare sector – highly regarded)
Proven experience performing effectively in a busy, high-pressure, fast-paced environment
Sound knowledge of Australian accounting principles and financial processes
Strong numeracy skills, attention to detail and a solutions-focused mindset
High level organisational skills to manage competing deadlines and priorities
Demonstrated ability to use initiative, be self-directed and work under minimal supervision
Excellent professional communication & interpersonal skills to work effectively and collaboratively with a broad range of internal and external stakeholders
Proficiency in Microsoft Office, with intermediate to advanced skills in using Excel spreadsheets (pivot tables, v lookups, etc) and accounting systems for mid-large size (Business Central 365 is desirable)
