About us

Aspire Academics is a growing tutoring centre in Truganina supporting primary and secondary students across Melbourne's west. We are looking for a reliable, detail-focused Accounts & Fees Officer to take ownership of our day-to-day fee administration.

About the role

This is a hands-on accounts role, not a high-level accounting position (our tax and BAS are handled separately). Your job is to keep our student fee records accurate and up to date: matching payments to the right family, keeping invoices correct, and preparing a clean weekly summary for our accountant. You will work across our student management portal and Xero.

What you will do

- Reconcile incoming payments (cash, EFTPOS, bank transfer and card) against student accounts and record them correctly, with method and date

- Match daily EFTPOS settlements to individual student payments and prepare a weekly payments statement for our accountant to reconcile in Xero

- Issue, reissue and correct student fee invoices

- Keep records clean: flag withdrawn or duplicate accounts and resolve balances that do not match

- Handle first-line fee follow-ups with parents by email and phone, politely and professionally

What we are looking for

- Strong attention to detail and comfort working with numbers and spreadsheets

- Experience with Xero or other bookkeeping/accounts software is highly regarded (training provided on our systems)

- Well organised, dependable and able to work independently

- Professional and discreet: this role handles confidential family and financial information, and confidentiality is essential

- Students of accounting or commerce and early-career bookkeepers are welcome to apply

- Full working rights in Australia

- A Working with Children Check, or willingness to obtain one, is desirable as the role is based in our tutoring centre

Details

- Location: on-site, Truganina VIC 3029

- Hours: around 10 to 15 hours per week across 2 to 3 days, flexible

- Start: as soon as possible

- A confidentiality agreement applies to this role
