Your opportunity
Governance Services is seeking two organised and detail-oriented Administrative Assistants to provide team-based secretariat support to committees of the University Council, the Academic Board, and other University management committees.
Applications are invited from experienced administrative professionals who have supported formal committees or boards within large and complex organisations, such as universities, government bodies, councils, or not-for-profit organisations. In this role, you will provide end-to-end committee support including organising meetings, preparing documentation, compiling agendas, drafting minutes, tracking action items and maintaining accurate records within a structured governance environment.
You will make an impact by:

Coordinating committee administration including agendas, minutes, records and follow-up actions
- Preparing and formatting high-quality documentation for formal governance meetings
- Maintaining accurate records and supporting compliance with governance and records management requirements
- Supporting incoming enquiries, correspondence and general administrative activities across Governance Services
- Collaborating with colleagues across the University to support effective committee operations and governance outcomes
What you will bring
You are an organised and proactive administrator who enjoys working in a professional and structured environment. You bring strong attention to detail, sound judgement, and the ability to manage competing priorities while maintaining confidentiality and accuracy. You are equally comfortable working independently and contributing positively within a small, collaborative team.
To succeed in this role, you will also need:

A relevant qualification at Certificate level and three years’ relevant administrative experience, or equivalent

Experience preparing agendas, minutes and supporting formal committee governance processes
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines
- Demonstrated computing skills across Microsoft Office programs, including formatting complex documents
- Excellent communication and interpersonal skills, with the ability to work professionally with a wide range of stakeholders
While not essential, experience using SharePoint or working within governance, higher education, local government or similar environments would be highly regarded.

- HEW Level 4. The base salary ranges from $75,500 - $81,079 per annum, plus 17% employer’s contribution to superannuation. The total remuneration package is up to $94,862.
