As our organisation continues to grow, we are seeking an experienced, mature, and highly organised Female Office Administrator to become an integral member of our administration team. This is an excellent opportunity for someone who thrives in a busy office environment, enjoys working with people, and is passionate about providing outstanding administrative support within the health and disability sector.
About the Role
As the first point of contact for our organisation, you will play a vital role in ensuring the smooth day-to-day operation of our office while delivering exceptional customer service to participants, families, staff, and external stakeholders.
Your responsibilities will include:
- Managing front reception and welcoming visitors professionally.
- Answering and directing incoming telephone calls and responding to email enquiries.
- Providing high-level administrative support to management and operational staff.
- Maintaining accurate client and employee records.
- Preparing correspondence, reports, meeting minutes, and other documentation.
- Coordinating staff rosters and appointments where required.
- Assisting with onboarding new participants and employees.
- Maintaining filing systems and ensuring confidentiality of sensitive information.
- Supporting NDIS compliance and administrative processes.
- Ordering office supplies and maintaining a well-organised workplace.
- Performing general office administration duties as required.
About You
We are looking for someone who is mature, reliable, proactive, and able to work independently while contributing positively to a supportive team environment.
Essential Requirements
- Previous experience as an Office Administrator, NDIS, Executive Assistant, or similar administrative role.
- Outstanding verbal and written communication skills.
- Excellent organisational and time management abilities.
- High level of computer literacy, including Microsoft Office Suite (Word, Excel, Outlook).
- Strong attention to detail and accuracy.
- Ability to multitask and prioritise competing responsibilities.
- Professional presentation and a positive, friendly attitude.
- Ability to maintain strict confidentiality.
- Current National Police Check (or willingness to obtain).
- Current Working with Children Check (or willingness to obtain).
- Current Victorian and/or NSW Driver Licence.
Desirable
- Previous experience within the office environment, NDIS, disability, aged care, community services, or healthcare sector.
