Full Job Description

Reporting to the Commercial Supervisor, is a hands-on role where you’ll partner with internal teams and stakeholders to ensure smooth day-to-day operations, strong coordination, and timely execution of key administrative functions supporting the facilities maintenance.

Key Responsibilities

Coordinate facilities management, including maintenance, security systems, and site services
Manage fixed assets, including asset allocation, records, and annual stocktakes
Support Capex processes – tracking budgets, raising requests, and following approvals
Provide Accounts Payable support (Doxis, supplier setup, reconciliations)
Maintain the motor vehicle register, including fleet tracking, audits, and insurer liaison
Oversee office supplies and general branch administration
Assist with expense claims, travel allowances, and timesheet processing
Support Who’s On Location (WOL) management and contribute as a member of the HSE committee
Provide ad-hoc support to the Commercial and Service Administration teams

About you

Certificate IV in Business Administration OR at least 3 years relevant administration experience
Exposure to Invoicing, raising CAPEX and Accounts Payable
High attention to detail and effective communication skills with both external and internal stakeholders.
Ability to handle multiple tasks and complete to high standard in time efficient manner
Exceptional customer service skills and attention to detail.
