About the Role

We are currently seeking an Office Manager (for a full-time position) which is critical to our ability to operate the business. The role will be responsible for overseeing daily administrative and office operations to support the efficient delivery of aged care services. The role involves coordinating staff administration, managing records and documentation, handling client and stakeholder communication, maintaining office systems, and supporting compliance with aged care regulations and workplace policies. The Office Manager will also assist management with scheduling, reporting, operational coordination, and ensuring a professional and organised office environment.

Job Description

Position: Office Manager

Location of work: 264 High Street, Ashburton, Vic -3147

Employment type: Permanent, Full time

Salary Range: $75,000 - $85,000 plus Superannuation

The main duties of the position include: ·

Duties include, but are not limited to –

Office Operations & Administration

· · Manage and coordinate daily office operations to ensure smooth and efficient administrative functions across the organisation.

· · Develop, implement, review, and improve office administrative systems, procedures, and operational workflows.

· · Maintain accurate business records, correspondence, databases, reports, and confidential documentation in accordance with company policies and legislative requirements.

· · Coordinate meetings, appointments, travel arrangements, calendars, and internal communications.

· · Prepare operational reports, schedules, and administrative documentation for management review and decision-making purposes.

· · Monitor office systems and technology usage to ensure operational effectiveness and data accuracy.

Staff Supervision & Support

· · Supervise administrative staff, allocate duties, monitor performance, and provide ongoing guidance and support.

· · Assist with recruitment, onboarding, induction, and general human resource administration activities.

· · Foster a positive, professional, and collaborative workplace culture.

· · Handle staff enquiries and assist in resolving administrative or operational issues.

Financial & Operational Support

· · Manage office budgets, monitor expenditure, and support cost-effective administrative operations.

· · Coordinate payroll support, invoicing, document processing, and other office administration functions where required.

· · Oversee procurement and inventory management of office supplies, equipment, and facilities requirements.

· · Liaise with suppliers, contractors, service providers, and external stakeholders regarding operational matters.

Compliance & Quality Management

· · Ensure compliance with workplace health and safety requirements, company policies, privacy obligations, and relevant administrative regulations.

· · Support management in implementing business improvement initiatives and operational strategies.

· · Maintain confidentiality and security of company records and sensitive information.

· · Assist in maintaining quality assurance and continuous improvement processes.

Qualification and experience required:

· Diploma in Management or relevant qualification

· A minimum of 1 year of relevant experience is required.
