We now have an exciting opportunity for a Planning & Scheduling Lead to join our Engineering team at the Geelong Refinery.
Job Description
In this role, you will be responsible for leading the development, maintenance, and governance of integrated maintenance plans and schedules across the Refinery to ensure that planning and scheduling practices are consistent, accurate, and aligned. Your leadership will enable informed decision‑making, risk management assessment, economically considered repair strategies and performance tracking.
Responsibilities
Planning & Scheduling Leadership

Lead the development and maintenance of integrated project and refinery maintenance schedules.

Establish and enforce planning and scheduling standards, methodologies, and best practices.

Provide subject matter expertise on planning tools, processes, and controls.

Ensure alignment between strategic plans, operational plans, and detailed schedules.
Schedule Development & Control

Develop baseline schedules, including scope, sequencing, dependencies, resource loading and milestones.

Monitor schedule performance, identify variances, and input corrective actions.

Manage critical path analysis, schedule risk analysis, and what‑if scenario modelling.

Maintain version control and auditability of schedules.
Stakeholder & Interface Management

Partner with Maintenance Managers, Projects, Engineering, Operations, Workshop, Procurement, Warehouse focal points.

Facilitate planning workshops, schedule reviews, and milestone alignment sessions.

Communicate schedule status, risks, and recovery strategies clearly to leadership and all stakeholders.
Reporting & Performance Management

Develop and maintain planning and scheduling dashboards and reports.

Track milestones, KPIs, and progress against baseline and forecast dates as per Refinery maintenance matrix.

Support monthly performance reporting, re attainment, compliance, second week accuracy, backlog. Schedule breaker (POP’s).

Responsible for daily, weekly, monthly compliance and data reporting.
Tools, Systems & Continuous Improvement

Own and optimise planning and scheduling tools (e.g., Primavera P6, MS Project, JDE, Power BI).

Drive continuous improvement in planning maturity and schedule reliability.

Mentor and coach planners and schedulers across the organisation.
Qualifications
About you
Essential
-
A minimum Trade Certification.
-
Experienced project management.
-
Proven experience in a Planning and Scheduling leadership role, ideally within Oil & Gas Industry or similar heavy industry.

Intermediate to Advanced knowledge of Microsoft Office suite tools (MS Word, MS Excel, MS Project) and Computerised Maintenance Management Systems (CMMS) SAP/ JDE.

Advanced knowledge in Primavera P6 scheduling software.

Strong expertise in schedule development, critical path analysis, and progress measurement.

Advanced proficiency with scheduling tools (Primavera P6 and/or MS Project).

Strong analytical, problem‑solving, and decision‑making skills.

Ability to influence stakeholders and lead planning discussions.
Desirable
-
Experience in complex projects, maintenance, programs, or asset‑intensive environments.

Exposure to enterprise‑level planning (Fulltime Employees).
-
Experience with Power BI, JDE, or similar reporting tools.
