We are a small family-based architectural practice in Kingston, ACT. We undertake architectural design work with particular expertise in heritage conservation and the provision of access to the built environment for people with disabilities.
We are looking for a permanent full-time administrative assistant to undertake document production and receptionist roles for the Practice. Duties will include:
· Document production: producing high quality correspondence, reports, letters and emails using the Microsoft Office suite and EMA Quality Assurance Manual. These are often produced from handwritten drafts.
· Reception duties: answering phones, accurately taking messages and directing calls to the correct staff member, meeting and greeting clients.
· Admin support: entering data into the EMA Access project database, maintaining records and occasional travel bookings.
· Other tasks as required to support the work of the Practice.
Our ideal team member is team focused, flexible, self-motivated and committed to supporting the Practice in the delivery of high-quality services to our clients.
We are looking for an experienced office administrator who has well developed written and oral communication skills with a sophisticated understanding of business English, a high level of attention to detail and the ability to enable effective communication through producing quality documentation and correspondence. In producing quality documents you will value our EMA specific templates, work with and insert photos and other images, and have a sound knowledge of MS Word styles, formatting and document management.
You will also be proficient with Excel and PowerPoint. Our work is guided by an Access database so knowledge of this software (or experience in working with databases) would be a bonus.
You will be organized and able to operate in a busy, sometimes stressful environment, coping with interruptions and changing demands as you work to meet deadlines.
This role is critical to the work of the Practice and as part of a small admin team there is an opportunity for development into the more complex areas of quality assurance, heritage research, and the administrative management of the Practice.
Salary will be negotiated on the basis of experience within the range of $55,000 - $65,000pa + superannuation.
