Location: Dubbo, NSW Job Type: Permanent Part Time (Monday, Tuesday, Wednesday with potential to extend to Thursday)

Attractive Salary Negotiable Based on Experience

Hours: 8.45am - 5.00pm

Currently we are looking for an enthusiastic and proactive individual to join our clinic as an Administration Officer. This is your chance to work in a growing practice that values the contributions of every team member and fosters a collaborative work culture.

About the Role:

As our clinic Administration Officer, you will be the first point of contact for our patients, providing top-notch customer service and administrative support to our healthcare team. You’ll play an integral part in ensuring the smooth day-to-day operation of the clinic, helping us maintain a positive and professional environment for both patients and staff.

Key Responsibilities

Warmly welcome and assist patients, carers, and visitors to the clinic.
Manage phone calls, emails and text message communications with professionalism.
Schedule and confirm patient appointments; coordinate with healthcare practitioners and external providers.
Process payments, prepare and send invoices and manage clinic communication, including medical correspondence.
Maintain accurate patient records, handle data entry and manage diary systems.
Support healthcare professionals and assist with patient inquiries.
Ensure the reception area and clinic rooms are kept clean and organised.
Collaborate with the Practice Manager and team to manage the clinic’s daily operations.
Perform general administrative tasks, including filing, scanning and billing.

About You

To be successful in this role, you have the following:

Administration experience in a similar role, ideally in a clinic setting.
You possess exceptional attention to detail, organisational skills and can manage multiple tasks efficiently.
Excellent written and verbal communication skills with a professional and personable phone manner.
You’re flexible, reliable and process oriented, with the ability to prioritise tasks and work under pressure.
Solution oriented and the ability to proactively solve problems.
A proactive mindset, willing to learn and grow with the practice and make the job your own.
You’re comfortable working both independently, with minimal supervision and as part of a supportive team.
Proficiency with Microsoft Office and managing cloud-based systems. It is a bonus if you have some basic marketing and software knowledge.
You have a positive can do attitude, show initiative and a strong work ethic.
