Primary objective
Provide a range of program coordination, administrative and facilitative support for the effective functioning of the Clinical Learning,
Education and Research Service (CLEaRS).
Context statement
This position provides high level administrative support to the Director and role models quality customer service to deliver program
coordination within the Clinical Learning Education and Research Services.
Key duties and responsibilities
1. Provide high-level administrative support to ensure effective, reliable service delivery to Director, team members and clients of the
Clinical Learning, Education and Research Service (CLEaRS) with a high level of customer service focus.
2. Assist or take primary responsibility for the co-ordination of education and training programs including maintenance of electronic
records of course attendance and ensure timely training data entry to various systems. This includes facilitation of Top End Health
Services orientation program on a monthly basis.
3. Create Learning Management System course containers and request PIPS codes for courses and support staff in the development of
eLearning courses and programs.
4. Provide expert technical support to program presenters for all Information Technology equipment used within presentations.
5. Develop reports as directed and ensure reporting quality, presentation, accuracy and meet reporting deadlines.
6. Provide backfill cover for the Clinical Placement Officer during periods of extended leave.
7. The position is responsible for procurement and submission of invoices to accounts payable as directed by the DON CLEaRS and for
stationary/equipment/office maintenance and procurement using Electronic Invoice Management System, stock and stores orders and
maintenance requests. The role is required to research training products, courses, providers and suppliers.
8. Provide Executive Administrative assistance to the DONM CLEaRS, including high level secretariat duties for NT Wide Services as
directed.
9. Follow defined service quality standards, Workplace Health and Safety (WHS) policies and procedures relating to the work being
undertaken in order to ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Excellent personal and interpersonal skills to be able to interact across a range of disciplines and, a proven ability to effectively
communicate a range of complex topics, issues and responses to a diverse range of people, utilising both high quality written and oral
communication skills.
2. Ability to work independently and as part of a team environment ensuring completion of projects within time constraints.
3. Proven ability in organisational and administrative duties that lend to the efficient functioning of the office environment and the
organisation of programs/courses and related requirements.
4. Requires initiative, flexibility and effective time management of own performance in accordance with agency policy and work unit
requirements.
5. Strong customer service skills including the ability to maintain confidentiality, deal with dissatisfied people and, implement quality and
efficient, customer service.
6. Ability to use a range of IT software and office technology including Word, Excel, PowerPoint, OneStaff and PIPS databases, booklet
correlation with sophisticated copiers, technical requirements for electronic presentations and TRIM file protocols.
7. Ability to be confident and assertive, with large groups of people and, the co-ordination and management of those groups.
8. Awareness of multicultural issues and an ability to interact effectively with people from diverse cultures.
