Remuneration: Salary $80,008.24 to $85,797.92 per annum (dependent on experience)
Salary Packaging: As a Public Benevolent Institution (PBI) NAAFLS can offer up to $15,899 per annum of the salary, Tax-free as a fringe benefit (conditions apply)
Hours of work: Monday to Friday - 8.15am to 4.21pm with 30mins lunch break
Employment Type: Full-time ongoing position (subject to funding)
Superannuation: 12%
Leave Entitlement: 6 weeks per annum plus 17.5% leave loading
Reports To: LVP Manager

Probationary Period: 6 months
Personal/Carer's Leave: 15 days per annum

ABOUT NAAFLS

NAAFLS is an Aboriginal Community Controlled Organisation (ACCO) and independent Family Violence Prevention Legal Service (FVPLS).

We are the only victim-based Aboriginal legal service in remote communities in the Top End region of the NT.

We have offices in Darwin (Larrakia land), Katherine (Jawoyn, Dagoman and Wardaman land) and Nhulunbuy (Yolŋu land), and service over 40 remote communities within the Top End region spanning from the Tiwi Islands down to Lajamanu, Wadeye and across to Borroloola. We provide culturally sensitive legal advice, assistance, representation, and support to Aboriginal and Torres Strait Islander people in Top End communities who have experienced domestic, family, and sexual violence.

We offer the unique opportunity to work collaboratively alongside client support officers and case workers, which are Aboriginal and Torres Strait Islander identified roles, to ensure that our service is culturally safe and holistic.

This holistic and culturally appropriate model of service sets us apart, seeking practical community-based solutions to the most complex legal problems.

Our primary practice areas are family law, child protection, and domestic violence; though we frequently intervene in coronial inquiries, parliamentary inquiries, and other administrative or criminal proceedings as required.

ABOUT THE ROLE

The LVP Intake Administration Officer provides administrative and operational support to the intake function within the Leaving Violence Program (LVP). The role is often the first point of contact for Aboriginal victim-survivors of domestic, family, and sexual violence (DFSV) accessing support through the Leaving Violence Program (LVP) and plays an important role in creating a safe, welcoming, and culturally responsive environment.

Reporting to the LVP Manager, the LVP Intake Administration Officer supports the coordination of client intake processes within the LVP. The role assists with referral and appointments, maintains accurate records, and works collaboratively with legal, intake, and case work teams to ensure clients are connected with appropriate services in a timely and culturally safe manner.

KEY RESPONSIBILITIES

1. Trauma-Informed Intake

Provide a welcoming and culturally safe first point of contact for clients accessing NAAFLS services.
Respond to telephone, email, and in-person enquiries in a professional, compassionate, and trauma-informed manner.
Assist clients to complete intake forms and other documentation as required.
Schedule appointments and coordinate referrals to legal, intake, and case work staff.
Provide clients with clear information about NAAFLS services and processes.

2. Administrative Support

Maintain accurate and up-to-date client records within the case management system.
Prepare and manage intake documentation, correspondence, and filing.
Monitor shared inboxes and assist with managing intake-related communications.
Support data entry, reporting, and administrative processes required for service delivery and funding obligations.
Ensure confidential information is handled in accordance with organisational policies and privacy requirements.

3. Intake Coordination and Referrals

Assist with triaging enquiries and directing clients to the appropriate internal or external services.
Support warm referrals and handovers between intake, legal, and case work teams.
Liaise with community organisations, service providers, and referrers as directed.
Escalate urgent or high-risk matters to appropriate staff members promptly.

4. Team and Operational Support

Work collaboratively with multidisciplinary teams to support effective service delivery.
Assist with office coordination tasks related to the intake function.
Participate in team meetings, training, and professional development activities.
Contribute to a culturally safe, respectful, and supportive workplace environment.
Complete other duties as directed by the LVP Manager.

SELECTION CRITERIA

Essential

Strong knowledge and understanding of the issues facing Aboriginal communities in the Top End of the Northern Territory, including the impacts and contributing factors of domestic, family, and sexual violence (DFSV).
Demonstrated ability to communicate sensitively and effectively with Aboriginal clients and community members.
Experience in an administrative, reception, or client service role.
Experience maintaining accurate records and handling confidential information.
Strong organisational and time management skills, with the ability to manage competing priorities.
Demonstrated computer literacy, including experience using Microsoft Office and database or case management systems.
Ability to work both independently and collaboratively within a multidisciplinary team.
Commitment to culturally safe, trauma-informed, and client-centred service delivery.
Willingness and ability to undertake professional development and training as required.
Must obtain a Working with Children Clearance and a satisfactory Criminal History Check.

Desirable

Experience working within the community services, legal, health, or Aboriginal community-controlled sector.
Understanding of the legal and support service system in relation to DFSV.
Qualifications in administration, community services, or a related field.
