Primary objective
To manage the Operating Theatre bookings and waitlist, promoting effective theatre utilisation and patient focused service
Context statement
The successful candidate will demonstrate knowledge of NT Health geography, language barriers, transfer processes. They will be able to deliver
outcomes that align with NT Health’s strategic plans by ensuring the Operating Theatre Scheduling services across all NT Health sites is supporting
the delivery of safe, effective, and quality care to consumers requiring access to Operating Theatres across all sites. The ability to work across an
interdisciplinary team, with consumers and under pressure is essential and be familiar with both the current and new systems for booking purposes.
Key duties and responsibilities
1. To work within the Northern Territory Health Service Waiting time and Elective Surgery Treatment Service policy and guidelines.
2. In consultation with medical staff, manage the scheduling of patients for elective surgery for multiple Specialties
3. Screen and prioritise verbal and written communication and respond in an appropriate and timely manner
4. Arrange pre-admission appointments and advise patients in writing, telephone and/or face-to-face of all admission details and
delays/cancellations, and coordinate preadmission clinics across multiple campuses
5. Communicate with the Primary Health Care (PHC) clinics regarding procedural offers, confirmations and to finalise any other patient
information necessary for their admission requirements.
6. Communicate any changes to visiting specialist travel to Divisional Heads and individual surgeons to ensure no disruption to delivery of service.
7. Ensure regular ongoing clerical audits of the Elective Surgery waitlist through active participation as directed
8. Liaise with bed management regarding bed allocations or cancellations of admissions
9. Liaise with medical staff regarding changes to theatre lists, equipment clashes , special equipment required
10. Follow defined service quality standards, work health and safety policies and procedures relating to the work being undertaken in order to
ensure high quality, safe services and workplaces.
Selection criteria
Essential
1. Demonstrated effective interpersonal and communication skills (verbal and written), emotional intelligence, organisational and trouble
shooting skills with a high level of motivation, integrity and confidentiality.
2. Ability to think strategically and work under pressure within an interdisciplinary team to independently to achieve quality outcomes in an area
of competing demands.
3. Demonstrated competency in workflow and coordination methodologies relating to Elective and Acute theatre bookings, managing procedure
and equipment conflicts, driven by previous experience in theatres or equivalent areas.
4. Experience in hospital or a health service environment
5. Relevant knowledge and experience in medical terminology and theatre procedures for multiple specialties or equivalent relevant experience
6. Demonstrated sound organisational and problem solving skills with the ability to work independently, work effectively within a team and work
under pressure to complete concurrent tasks within required timeframes
7. Proven high level skills in information technology and computer software such as Microsoft Office; information systems data management
and other software applications relevant to waitlist management and bookings
8. Demonstrated ability to work within a multi-disciplinary, cross cultural team environment and to interact effectively with people of diverse
cultures.
Desirable
1. Knowledge of operational procedures and information systems used within the hospital environment
2. Knowledge of Operating Theatre modules and the theatre scheduling systems both current and new
