Gold Coast | Full-Time

Are you an organised and proactive coordinator who thrives in a fast-paced environment? Do you enjoy juggling multiple priorities, working with contractors and keeping operations running smoothly?

At Coulson Operations, we are driven by a passion for creating spaces that truly enrich our community. Our portfolio includes Kool Beanz which operates 14 childcare centres across Northern NSW, VIC and QLD, alongside The Commons and Hive Byron Bay commercial precincts. We are rapidly growing with future projects in Mackay and Victoria.

We are seeking a Facilities Coordinator to support the day-to-day maintenance operations across our growing portfolio of childcare centres while also supporting our Property & Leasing Manager and Building and Facilities Manager.

This is a varied and rewarding role where no two days are the same.

About the Role
Working closely with our Facilities Manager, Property & Leasing Manager and Centre Directors, you will coordinate maintenance works across multiple sites, ensuring requests are prioritised, scheduled and completed efficiently.

Key Responsibilities:

Coordinate the daily workflow of our internal maintenance team.
Prepare and manage maintenance rosters and schedules.
Prioritise reactive and planned maintenance requests.
Liaise with Centre Directors, contractors and trades to coordinate repairs.
Obtain contractor quotations and arrange site access.
Maintain contractor compliance documentation.
Track maintenance requests and provide regular progress updates.
Process invoices and maintain accurate maintenance records.
Monitor contractor performance and identify opportunities for improvement.

About You
To be successful in this role you will have:

Previous experience in facilities coordination, maintenance scheduling, property management or a similar administrative role.
Exceptional organisational and time management skills.
The ability to manage multiple competing priorities.
Strong communication and relationship-building skills.
Confidence liaising with contractors, trades and internal stakeholders.
High attention to detail and excellent administrative skills.
Proficiency in Microsoft Office and the ability to learn new systems quickly.
A current driver's licence.
