We're looking for an experienced Service Coordinator to support our Wahroonga Aged Care team across administration, workforce coordination, sales and occupancy management, ensuring a welcoming experience for prospective residents and their families while supporting the day-to-day operations of the service.

Employment Type: Permanent Part-Time | 0.8 FTE (60 hrs fortnight) | Mon-Fri preferably 8:30 - 3:00pm or 9:00 - 3:30pm
Remuneration: $38.28 ph + Super +Salary Packaging +Access to staff discounts & benefits
About The Role:
As a Service Coordinator, you will play a pivotal role in supporting the day-to-day operations of the service. Working closely with the Service Manager, you will provide high-level operational, administrative, financial, occupancy and governance support to ensure the smooth and efficient running of the site.
This is a diverse and rewarding role where you will coordinate administrative functions, oversee occupancy and admissions processes, support workforce compliance, and contribute to quality and financial outcomes.You’ll be a key point of contact for residents, families, staff and external stake holders, helping to deliver an exceptional experience for those who call our service home.
Responsibilities Will Include:
- Lead and support the Administration Team, fostering a positive and collaborative workplace culture
- Support recruitment activities, coordinate workforce administration processes and employee onboarding, including annual mandatory training compliance requirements.
- Manage enquiries, tours, admissions, waiting lists and CRM systems to support occupancy targets
- Build and Maintain relationships with hospitals, referral partners, community organisations and local networks
- Prepare operational, occupancy, compliance and financial reports to support informed decision-making
- Coordinate financial administration activities, including purchase orders, invoices, procurement support and maintenance of financial and asset registers
- Support operational planning, meetings, workflow coordination, and continuous improvement initiatives.
- Maintain quality and governance systems, ensuring records remain audit-ready and compliant.
What You Bring to the Team:
- Experience in a Senior Administration, Service Coordinator or Operational Support role, ideally within aged care, health or community services
- Strong organisational skills with the ability to manage multiple priorities in a fast-paced environment
- Experience in financial administration, report and maintaining accurate records and systems
- Excellent communication and stakeholder engagement skills with customer-focused approach.
- High-level computer literacy, including Microsoft Office and customer relationship management systems
- Demonstrated ability to coordinate teams, processes, and operational activities effectively
- Knowledge of aged care operations, occupancy management or aged care legislation will be highly regarded (desirable)
