About the Role
We are looking for an organised person to support the daily operations of our NDIS service.
Key Responsibilities
- Reception, Enquiries & Office Support (Primary)
- First point of contact for participants, families, staff, & stakeholders
- Answer calls, respond to emails, welcome visitors, & direct enquiries appropriately
- Maintain a respectful, inclusive, person-centred communication style
- Records, Data Entry, CRM (Primary)
- Enter, update & maintain participant details, plans, service agreements, contact records, & support notes
- Manage digital & paper filing systems with strong privacy & confidentiality practices
- Maintain accurate registers, templates, forms, & internal documents
- NDIS Documentation & Coordination Support (Primary)
- Prepare, check, update & distribute intake packs, consent forms, incident reports, service agreements, & related documentation
- Liaise with support coordinators to ensure documents align with NDIS Practice Standards & timeframes
- Track document status, follow up missing information, & maintain version control
- Scheduling, Rostering & Communications (Primary)
- Assist with shift scheduling based on participant needs, preferences, & worker availability
- Communicate roster changes, cancellations, & updates to participants & staff
- Support continuity & consistency of service delivery through clear coordination
- Invoicing, Claims & Administration Support (Primary)
- Assist with invoicing, NDIS billing/claims admin, timesheet processing, payment tracking, & basic reconciliation support
- Work with finance staff or external bookkeepers to ensure service records align with billing
- Maintain accurate timesheet & service delivery documentation for audit readiness
- Compliance, Reporting & Quality Support (Primary)
- Maintain up-to-date compliance documentation & assist with audit preparation
- Generate basic internal reports as requested (service delivery, rostering, documentation status)
- Support quality processes & document control across the office
- IT Administration & First-Line Support (Secondary, approx. 10%)
- Provide basic first response for common issues: logins, email setup, printer/scanner access, Wi-Fi, shared drives, & Microsoft 365 tools
- Assist with user access requests for CRM & business systems (create/disable users, password resets, permissions as directed)
- Maintain simple IT registers: devices, software licences, asset list, & onboarding/offboarding checklists
- Liaise with external IT provider for escalations, tracking tickets & documenting outcomes
- Office Supplies, Equipment & Workspace Coordination (Primary)
- Order stationery & supplies, coordinate equipment needs, & keep the office organised & presentable
- Support meeting setup, training days, internal events, & general team administration

Desirable
- Certificate III/IV in Business Administration, Community Services, or similar
