Clerk Grade: 7/8; $116,981 - $129,492 plus super
Employment Type: Ongoing, Fulltime
Location: Parramatta, Sydney, Gosford, Orange Hybrid opportunity. In-office requirement 2-3 days a week as a minimum, which could be subject to change based on applicable DCS workplace policies.

About the team
Government Shared Services (GSS) is a new division in DCS that is leading the way in streamlining processes and transactional shared services to allow our people to better focus on their customers and delivering their services.
We are developing and delivering a roadmap to leverage technology, streamline processes, replace legacy systems and deliver a consistent experience to more than 100+ agencies across 8 NSW Government Departments.
What you will do
As the Business Operations Coordinator, you will coordinate high-quality business, administrative and operational support services that help the branch run efficiently and deliver to agreed standards. You will work across teams to manage priorities, improve processes, support reporting and documentation and provide practical advice on systems, procedures and service delivery.
Key responsibilities
- Oversee and coordinate the delivery of business, administrative and support services to ensure the business needs of the Branch/Unit are met
- Prepare, review and coordinate documents, briefings, reports and correspondence, ensuring accuracy, timeliness and alignment with organisational standards.
- Provide coordinated administrative support across the branch, including calendar and meeting management, travel and accommodation arrangements, records management and other day-to-day activities that support smooth and efficient business operations.
- Manage and respond to complex or sensitive enquiries, including escalated matters, to support timely and effective resolution.
- Develop, implement, review, recommend improvements and update administrative systems, processes and policies to ensure currency and compliance with agency standards, policies and procedures
- Provide guidance and coaching to staff on business systems, policies and procedures to support effective and compliant operations.
- Establish and maintain customer relationships and collaborative networks through effective communication, negotiation and issues management to support optimal service delivery and the on time delivery of projects and initiatives
- Keep informed of relevant issues, obligations and emerging trends to recommend practical improvements and contribute to a best-practice business support function.
The key challenges to be successful in this role
- Balancing the administrative service needs of unit staff consistently, given the high volume of work, the number of staff seeking services from the team, and the need to address ad hoc requests and unforeseen issues
- Keeping up to date with legislation, policies, procedures and guidelines to provide accurate information and a positive customer experience while ensuring compliance with, legislation, standards and the integrity of the service and quality
- Prioritising and coordinating workflows in a high volume work area to meet competing demands with critical deadlines from multiple sources given conflicting priorities and rapidly changing agendas
About you
We are looking for someone who is highly organised, proactive and confident working in a busy business support environment. You will be comfortable managing competing priorities, coordinating information from different sources and using sound judgement to resolve issues or escalate matters when needed.
You will have strong communication skills, attention to detail and the ability to build effective relationships across teams. You will also be confident using business systems and technology to improve processes, support reporting and maintain accurate records.
To be successful in this role, you will bring:
- experience coordinating business, administrative or operational support services
- strong organisational skills and the ability to manage competing deadlines
- well-developed written and verbal communication skills
- sound judgement when dealing with sensitive or complex enquiries
- confidence using technology and business systems to support efficient work practices
- a customer-focused approach and ability to build positive working relationships
- experience supporting, coaching or guiding others, where relevant.
